Department Summary
The College of Biomedical and Translational Sciences (CBTS) at UNT Health has three multidisciplinary departments that include Physiology & Anatomy, Pharmacology & Neuroscience and Microbiology, Immunology & Genetics. CBTS takes great pride in shaping the future of the biomedical workforce with three focus areas: education, student service, and research. Our students are educators, researchers, and health care professionals of tomorrow. The research areas of CBTS are diverse and include cardiovascular, neuroscience, health disparities, vision science, genetics, immunology, molecular biology, nanotechnology, pharmacology, and numerous other areas.
Position Overview
The Academic Program Specialist will provide centralized course and semester level operational support for Specialized Master’s Programs (SMPs) in CBTS, including Medical Science and Clinical Research Management programs (face-to-face and online). This role focuses on faculty-level coordination and semester execution to ensure courses, academic events, and instructional infrastructure are prepared and delivered consistently as enrollment scales. This position operates with a high degree of independence and supports enrollment growth by reducing operational risk across modalities.
Minimum Qualifications
Bachelor's degree and two (2) years of related experience; or equivalent combination of education and experience.

- Proficiency in Microsoft Office suite of programs: Word, Excel, Outlook, Teams.

Preferred Qualifications
- Bachelor's degree and three (3) to five (5) years related experience supporting graduate or professional academic programs.
- Proficiency with Canvas or other Learning Management Systems.
- Ability to learn and manage academic systems (Canvas, Mediasite, calendar and scheduling tools).
- Experience coordinating course logistics, exams, or academic events.
- Experience working directly with faculty and instructors.
Job Duties
- Coordinate course and semester preparation for face-to-face and online Medical Science programs, including Canvas setup, syllabus drafting, exams, and instructional timelines.
- Serve as primary academic point of contact for course directors and instructors regarding course setup and semester timelines.
- Track faculty course-readiness milestones (e.g., syllabi submission, Canvas publishing, assessments) and escalate missed deadlines. - (Essential)
- Conduct semester readiness audits to ensure courses, instructional materials, and learning environments meet instructional standards.
- Coordinate instructional and in-class activity logistics, including Team Learning Exercises (TLEs), classroom reservations, lecture recordings, and academic event scheduling.
- Maintain standardized course templates, timelines, and operational documentation to support consistency across programs. - (Essential)
- Compile course-level data and program status summaries from course reports and academic systems for leadership reporting, presentations, and program planning.
- Maintain organized and accurate operational records to support accreditation, internal reviews, and external reporting requirements.
- Collaborate closely with the Assistant Director of Educational Programs and Academic Student Navigators to support academic operations while maintaining role boundaries between course-level operations and student advising.
- Participate in CBTS Dean’s Office staff meetings and academic services team meetings, required training, and perform other related duties as assigned in support of academic operations.
