Job description

Senior Talent Acquisition Specialist

We're looking for a Senior Talent Acquisition Specialist to join Quizlet's People Team and own the day-to-day execution of our talent acquisition function.

This is a hands-on role for someone who enjoys both recruiting and recruiting operations. You'll independently manage full-cycle recruiting across a variety of functions and levels while also owning interview coordination, candidate experience, recruiting processes, and TA analytics.

As part of a lean People Team, you'll have significant ownership and visibility. You'll partner closely with hiring managers and People leadership to understand hiring needs, build thoughtful recruiting strategies, keep searches moving, and use data to continuously improve how we hire.

This role is ideal for someone who is comfortable moving between strategic recruiting conversations and the operational details that create a great candidate and hiring-manager experience.

This is a hybrid position in our San Francisco office. To support collaboration, we ask employees to be in the office at least two days a week: Wednesday and Thursday.

In This Role, You Will:

  • Full-Cycle Recruiting
    • Independently own full-cycle recruiting from hiring-manager intake through offer acceptance.
    • Partner with hiring managers to understand business needs, define candidate profiles, establish interview plans, and develop effective search strategies.
    • Source and engage qualified candidates through outbound sourcing, referrals, inbound applications, and other recruiting channels.
    • Conduct recruiter screens and assess candidates for skills, experience, motivation, and alignment with role requirements.
    • Guide candidates and hiring teams through the interview process while providing a thoughtful and high-quality candidate experience.
    • Partner with hiring managers to evaluate candidate pipelines, adjust recruiting strategies, and keep searches moving efficiently.
    • Support offer development, approvals, offer delivery, and closing candidates.
    • Build and maintain strong talent pipelines for current and anticipated hiring needs.
  • Recruiting Coordination & Candidate Experience
    • Own interview scheduling and coordination across candidates, hiring managers, interviewers, and leadership.
    • Manage candidate communications throughout the recruiting process, ensuring candidates know what to expect at every stage.
    • Coordinate complex interview panels and ensure interview teams are prepared with the appropriate materials and context.
    • Maintain interview plans, scorecards, candidate records, and hiring workflows within Ashby.
    • Partner with the broader People Team to ensure a smooth transition from offer acceptance to preboarding and onboarding.
    • Identify opportunities to automate or streamline administrative recruiting work while maintaining a highly personal candidate experience.
  • Recruiting Analytics & Reporting
    • Own recruiting data integrity, reporting, and analytics within Ashby.
    • Build and maintain dashboards that provide visibility into recruiting activity and hiring progress.
    • Track key metrics such as time-to-fill, time-to-hire, funnel conversion, source effectiveness, offer acceptance rate, and hiring-plan progress.
    • Analyze recruiting funnels to identify bottlenecks, trends, and opportunities for improvement.
    • Provide recurring recruiting updates and actionable insights to People leadership and hiring managers.
    • Use recruiting data to help evaluate sourcing strategies, interview processes, and overall recruiting effectiveness.
    • Ensure recruiting data is accurate, consistent, and maintained appropriately within Ashby.
  • Recruiting Operations & Continuous Improvement
    • Serve as a subject-matter expert for Ashby and help ensure our recruiting workflows, reporting, and processes are optimized.
    • Maintain and improve recruiting documentation, templates, interview guides, and hiring-manager resources.
    • Identify opportunities to simplify and automate recruiting workflows.
    • Help establish scalable and consistent recruiting practices across the company.
    • Partner with the People Team on talent-related projects and initiatives as business needs evolve.
    • Support recruiting-related compliance, documentation, and process requirements.
    • Continuously look for ways to make the hiring experience more efficient, inclusive, and effective.

What You Bring To The Table:

  • 4+ years of experience in talent acquisition, recruiting, or a combination of recruiting and recruiting operations.
  • Demonstrated experience independently managing full-cycle recruiting from intake through offer acceptance.
  • Experience recruiting across multiple functions and levels; experience working in a technology company is a plus.
  • Strong sourcing skills and experience proactively identifying and engaging talent.
  • Experience partnering directly with hiring managers and serving as a trusted recruiting advisor.
  • Strong candidate assessment and interviewing skills.
  • Experience independently managing recruiting coordination and interview logistics.
  • Strong analytical skills and experience using recruiting data to identify trends and inform decisions.
  • Experience using modern applicant tracking systems; Ashby experience strongly preferred.
  • Experience building ATS reports, dashboards, and recruiting funnel analyses.
  • Excellent organizational and project-management skills with the ability to manage multiple searches and competing priorities simultaneously.
  • Strong written and verbal communication skills with exceptional attention to detail.
  • A high level of discretion and comfort handling confidential candidate and employee information.
  • Ability to operate independently, identify what needs to be done, and move work forward with limited oversight.
  • Comfort working in a lean, fast-moving People Team where responsibilities may span both strategic and operational work.

Compensation, Benefits & Perks:

  • Collaborate with your manager and team to create a healthy work-life balance
  • 20 vacation days that we expect you to take!
  • Competitive health, dental, and vision insurance (100% employee and 75% dependent PPO, Dental, VSP Choice)
  • Employer-sponsored 401k plan with company match
  • Access to LinkedIn Learning and other resources to support professional growth
  • Paid Family Leave, FSA, HSA, Commuter benefits, and Wellness benefits
  • 40 hours of annual paid time off to participate in volunteer programs of choice

We strive to make everyone feel comfortable and welcome! We work to create a holistic interview process, where both Quizlet and candidates have an opportunity to view what it would be like to work together, in exploring a mutually beneficial partnership.
