About the Role
Principles Recovery Center is seeking a highly organized Administrative Coordinator to support the daily operations of our clinical and program teams. This role ensures that schedules, documentation systems, and administrative processes run efficiently so providers can focus on delivering high-quality care.
The Administrative Coordinator plays a critical role in maintaining program organization, documentation compliance, and operational coordination across the clinical team. This position works closely with clinical leadership, admissions, and operations to support scheduling, reporting, and documentation oversight within the program.
Key Responsibilities
- Program Coordination
- Coordinate daily program schedules including therapist sessions, group programming, and client activities.
- Maintain and distribute updated schedules for clinicians, psychiatric providers, facilitators, and interns.
- Communicate schedule updates, room assignments, and program changes to relevant team members.
- Coordinate coverage needs related to staff absences, holidays, or scheduling adjustments.
- Support coordination of client intakes, discharges, and level-of-care transitions in collaboration with the Operations team.
- Help ensure scheduled sessions occur according to the program schedule.
- Documentation Compliance Support
- Conduct routine administrative audits of clinical records including intake documentation, biopsychosocial assessments, treatment plans, progress notes, discharge summaries, and group notes.
- Review records for completeness, organization, and alignment with documentation standards.
- Identify missing documentation or incomplete records and communicate with providers to resolve discrepancies.
- Maintain audit tracking logs and compliance reports.
- Provide summary reports to the Clinical Director and leadership team.
- Maintain accuracy of scheduling and provider assignments.
- Support updates related to level-of-care changes, therapist assignments, and scheduling adjustments.
- Coordinate with Billing and Utilization Review teams regarding documentation timelines and updates.
- Assist with maintaining accurate administrative records within the EHR system.

- Comfortable working closely with clinicians, leadership teams, and operational staff to keep program systems running smoothly.
Requirements
- 2+ years of administrative experience within healthcare, behavioral health, or program operations.
- Strong organizational and communication skills with high attention to detail.
- Experience working with electronic health record systems (KIPU preferred).
- Ability to manage multiple priorities in a fast-paced environment.
- Ability to pass DCF and AHCA Level-2 background check.
