Job Responsibilities:
  • Independently manage complex scheduling across multiple time zones and coordinate with senior-level internal and external stakeholders while maintaining a high level of confidentiality.
  • Demonstrate expert knowledge of available IT systems and collaboration tools.
  • Manage scheduling for senior committee meetings, global summits, department offsites, all-staff meetings, leadership meetings, and cross-functional meetings.
  • Lead the planning, organization, and execution of large-scale meetings involving multiple time zones and key internal and external stakeholders.
  • Partner with managers or assigned leads to develop agendas, distribute meeting materials, and maintain rolling agendas for standing committees and team meetings.
  • In collaboration with Strategic Event Services, drive the planning and execution of large department-wide offsites and onsites, including Global Town Halls and team meetings.
  • Independently lead the planning and execution of meetings at Congress events and Global Summits, including:
    • Venue and speaker selection
    • Technical and AV requirements
    • Catering
    • Agenda development
    • Contract management
  • Draft email communications on behalf of managers, teams, departments, and leaders.
  • Partner with leaders to develop communication strategies for internal department communications.
  • Partner with communications teams to track, manage, prepare, and support various communications and engagement initiatives.
  • Manage departmental sites, collaboration spaces, websites, newsletters, and related communication platforms, including content collection, information distribution, and ongoing maintenance.
  • Coordinate the collection and implementation of feedback for communications when applicable.
  • Manage the overall space planning process, serving as a thought partner on team placement strategy, presenting recommendations to leadership, and serving as the primary project manager.
  • Partner with leaders to create team agreements.
  • Serve as a thought partner to leadership by assessing employee engagement, conducting informal pulse checks, and providing ideas for enhancing employee engagement.
  • Manage complex candidate and interview processes.
  • Manage administrative components and logistics of onboarding, including oversight of first-30-day checklists and relocation activities.
  • Serve as a connector and point of contact for external stakeholders.
  • Stay current on system changes and organize training sessions for team members and other administrative staff.
  • In some cases, serve in an Administrative Lead capacity.
  • Process and manage vendor and speaker engagements, contracts, payments, and related activities, including RFP and vendor selection.
Functional Job Responsibilities:
  • Responsibilities specific to the role, representing approximately 30% of the position.

Required Skills & Qualifications:
  • 5–7 years of related administrative, operations, or project management experience; pharmaceutical or biotechnology industry experience strongly preferred.
  • Experience supporting senior-level executives, including Senior Director and above; VP-level support preferred.
  • Previous experience managing highly confidential and sensitive information.
  • Previous experience training staff on company or departmental systems, processes, and administrative tools strongly preferred.
  • Proven track record of meeting or exceeding objectives and goals.
  • Ability to plan, coordinate, organize, and prioritize work across multiple functional groups while executing strategically.
  • Ability to take a lead role in assessing and coordinating workflow among team members.
  • Strong ability to create a collaborative and productive work environment.
  • Demonstrated ability to solicit and integrate ideas, opinions, and expertise from across the organization when making decisions.
  • Ability to resolve complex issues and conflicts effectively.
  • Strong judgment and discretion when handling highly sensitive and proprietary information.
  • Strong attention to accuracy and detail, with a continuous improvement mindset.
  • Ability to independently drive decision-making based on breadth of experience, skills, and strategic context.
  • In-depth knowledge of collaboration and productivity tools, including Gmail, Google Calendar, Google Sheets, Google Slides, Trello, Google Meet, and Zoom.
  • Ability to promote, instruct, and train others on innovative tools that enhance efficiency and productivity.
  • Bachelor’s degree (BS/BA) in a related field or equivalent industry experience.
Technical Skills:
  • In-depth knowledge of Microsoft Office, including PowerPoint, Excel, and Word.
  • In-depth knowledge of collaboration and productivity tools, including Gmail, Google Calendar, Google Sheets, Google Slides, Trello, Google Meet, and Zoom.
  • Ability to provide instruction and training to others on relevant systems and tools.
Experience & Education:
  • Minimum Experience: 5–7 years of relevant experience, including significant experience supporting Senior Director-level executives and above; VP-level support preferred.
  • Education: BS/BA in a related field or equivalent industry experience.
