Job description

Job Title

Job Overview: Pay Range: $22hr - $27hr

Responsible for supporting Institute-level operational and administrative activities by coordinating projects, maintaining administrative infrastructure, and assisting in program execution. The role involves project management support, communication, documentation, reporting, and operational coordination across internal teams and external partners.

Requirement/Must Have

  • Bachelors degree preferred in Public Health or related field.
  • Two years of relevant professional experience.
  • Strong administrative and organizational skills.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office applications.
  • Strong attention to detail and time management abilities.
  • Ability to work in a collaborative environment.

Responsibilities

  • Coordinate and support Institute-related operational activities.
  • Support overall Institute operations by maintaining and improving administrative infrastructure.
  • Execute project work plans and adjust based on changing requirements.
  • Support project planning, implementation, and evaluation activities.
  • Monitor project status, manage timelines, and support documentation preparation.
  • Assist with scheduling, coordination, and administrative maintenance tasks.
  • Support communication with faculty, staff, and community partners.
  • Manage operational tasks including travel booking, event planning, supply ordering, and invoice processing.
  • Support submission of scientific manuscripts, copyediting, and documentation tasks.
  • Maintain social media and online presence for Institute activities.
  • Manage communication including phone calls and email correspondence.
  • Maintain activity catalogs related to publications, grants, research projects, and outreach initiatives.
  • Track and support administrative strategies and initiatives.
  • Prepare reports and dissemination materials for university and community use.

Should Have

  • Experience in a university or academic environment.
  • Experience supporting research activities such as CV updates, grant writing, and presentation development.
  • Experience with document formatting, figure/table creation, and report preparation.
  • Familiarity with tools such as WordPress, REDCap, Adobe Creative Suite, or Workday.
