Description

Position Summary

This position is responsible for coordinating and executing administrative processes for prospective students. Responsibilities will include attending and supporting visits to partner schools, participating in prospective student and community events, and assisting with marketing efforts to engage prospective families. Strong customer service skills are essential to success in this role.

Reports to: Director of Admissions

Supervises: None

Essential Duties

  • Respond to all prospective family inquiries and maintain accurate records of communication within Finalsite
  • Answer phone calls and emails in a timely and professional manner
  • Will be the main lead for tours and will stay up to date on tour content to ensure a personalized and engaging experience for all prospective guests
  • Establish and execute administrative details for tours and shadow days, including reminder calls, tour materials, and promotional gift bags
  • Maintain and restock admissions materials used for tour folders and handouts as needed
  • Coordinate administrative details for smaller prospecting events on and off campus
  • Track and report HubSpot and other inquiry leads generated from marketing efforts
  • Handle follow-up communication for all campus visitors to encourage continued engagement and application completion
  • Follow up on draft applications to support families in completing the admissions process
  • Oversee all admissions-related mailings and inventory, including but not limited to shadow day cards, birthday cards, and Christmas cards
  • Attend admissions events, including school visits, fairs, interview nights, Open Houses, and other events as needed

Qualifications

Education

Bachelor's degree required

Experience

At least 2 years of experience in Office Administration, Business, or Customer Service

Licenses, Certificates, and Clearances

  • Cleared Background/Fingerprint check
  • Valid CPR certifications
  • Cleared TB assessment
  • Completion of Ministry Safe Training

Key Competencies

Knowledge

  • Familiarity with secondary education goals, structures, administrative duties, and communication standards.
  • Experience working with Word, Excel, Google Suite, and Apple Keynote preferred

Skills and Abilities

  • Strong time management skills
  • Extremely organized and detail-oriented
  • Ability to manage difficult customer service situations
  • Strong written and verbal communication skills
  • Must be able to maintain a calm composure in high-pressure or stressful situations
  • Enjoys meeting people, personable yet professional in demeanor, especially on the phone and in-person meetings

Physical Requirements

  • This position primarily involves sedentary work
