Job Summary

The Senior Billing Specialist is responsible for the full medical billing cycle for ABA therapy services, as well as provider credentialing, insurance contracting, authorizations, and vendor management. The role monitors key performance indicators (KPIs), produces dashboards and reports, and provides actionable insights to leadership to support financial performance, operational efficiency, and service quality.

Key Responsibilities

Claims Processing and Billing

  • Submit timely and accurate claims for ABA services.
  • Review claims for correct coding, modifiers, fee schedules, and documentation.
  • Monitor claim status and follow up on unpaid, rejected, or denied claims.
  • Resolve claim issues, including coordination of benefits and discrepancies.
  • Maintain detailed billing records in the practice management system.

    • Accounts Receivable and Financial Tracking

  • Track and manage account balances for insurance and patient accounts.
  • Reconcile payments, adjustments, and write-offs.
  • Prepare weekly A / R updates for leadership.
  • Support month-end processes by confirming billing totals and reimbursement amounts.
  • Identify trends in denials, reimbursement changes, or payer performance.

    • Financial Analytics and KPI Management

  • Build and maintain dashboards monitoring billing, collections, credentialing, contracting, authorizations, and vendor performance.
  • Analyze trends and provide actionable insights to improve efficiency and financial outcomes.
  • Work with leadership to define, refine, and report on operational and financial metrics.
  • Recommend process improvements to enhance clean claim rates, reduce denials, and shorten A / R cycles.

    • Credentialing, Contracting, and Authorizations

  • Support provider credentialing and re-credentialing with insurance networks.
  • Maintain and manage payer contracts and fee schedules.
  • Request, track, and manage authorizations to prevent service interruptions.
  • Collaborate with scheduling and intake teams to ensure approvals align with service delivery.

    • Vendor Management

  • Serve as the primary contact for external vendors, including billing platforms, software providers, and service partners.
  • Evaluate vendor performance and manage contracts to ensure services meet organizational needs.
  • Collaborate with leadership to negotiate pricing and maintain operational alignment.

    • Documentation and Compliance

  • Ensure documentation meets payer and regulatory requirements.
  • Maintain and update billing policies and procedures.
  • Protect confidential patient and financial information.

    • Collaboration and Communication

  • Communicate with insurance representatives, clinical staff, intake teams, and families to resolve billing questions.
  • Provide financial insights and billing updates to leadership and cross-functional teams.
  • Participate in strategic discussions where billing and operational data inform organizational decisions.

    • Qualifications

  • 3+ years of medical billing experience, preferably in behavioral health or ABA therapy.
  • Strong understanding of CPT codes, ABA billing rules, insurance processes, and payer contracts.
  • Expert in Excel for reporting, dashboards, and financial analysis.
  • Experience with practice management or billing software.
  • Proven ability to manage multiple priorities and implement process improvements.
  • Strong analytical, communication, and organizational skills.
  • Experience creating and maintaining dashboards or reporting tools preferred.

    • Location

  • Wenatchee, WA preferred for collaboration with the operations team, or proximity to one of our other academies.

    • Job Type : Full-time

    Salary Range : $65,000 - $80,000 per year (based on experience)

    Salary Range : $75,000 - $90,000 per year (based on experience
