Human Resources Specialist

The HR Specialist provides administrative and operational support to the Human Resources Department, including personnel transactions, employee records, applicant assistance, background checks, and HRIS support. Key responsibilities include responding to inquiries, preparing correspondence, processing personnel changes, maintaining accurate employee data, tracking required documentation, and assisting schools and departments with HR requests. Success in this role requires strong organizational and communication skills, attention to detail, sound judgment, the ability to maintain confidentiality, and a collaborative, customer-focused approach.

Essential duties and responsibilities include:

• Preparing and processing personnel changes and maintaining accurate employee data in the human resources information system.
• Preparing, organizing, and maintaining electronic personnel files and conducting periodic audits to ensure accurate, complete, and consistent records.
• Assisting applicants with the online application process through the applicant tracking system.
• Receiving, organizing, and processing mail, messages, new-hire and benefits paperwork, identification badges, and other office documents and materials.
• Processing and tracking fingerprinting and background checks for employees.
• Performing system testing during HRIS updates; serving as advisor regarding HRIS setup for new positions.
• Assisting with system implementations as needed.
• Serving as point of contact for Virginia Employment Commission claims; completing VEC verification forms.
• Performing clerical, administrative, accounting, and budgetary tasks for human resources staff.
• Responding to written and verbal inquiries from internal and external sources.
• Maintaining confidentiality of employee information, reports, records, correspondence, and communications.
• Managing multiple tasks and competing priorities while responding to frequent interruptions.
• Assisting with other HR functions and receptionist duties, as needed.
• Performing other related duties as assigned.

Qualifications include:

• Associates degree required; degree field in human resources, business administration, or related field is preferred.
• Considerable experience performing accounting and clerical duties, or an equivalent combination of education and experience.
• Requires at least three years of data entry experience.
• MUNIS experience preferred.

Knowledge, skills, and abilities include:

• Strong organizational, customer service, and written and verbal communication skills.
• Knowledge of standard office practices and equipment.
• Knowledge of basic accounting and budgetary procedures.
• Skill in accurate data entry, document preparation, and records maintenance.
• Ability to manage competing priorities, meet deadlines, and maintain accuracy while responding to frequent interruptions.

Working conditions and physical requirements include:

• The work environment is primarily inside, where the noise and temperature levels are moderate; the worker is not subject to adverse environmental conditions.
• This is sedentary work requiring the exertion of up to 10 pounds of force occasionally and a negligible amount of force frequently or constantly to move objects.
• Work requires stooping, kneeling, crouching, reaching, pulling, lifting, fingering, grasping, and repetitive motions; vocal communication is required for expressing or exchanging ideas by means of the spoken word, and conveying detailed or important instructions to others accurately, loudly, or quickly; hearing is required to perceive information at normal spoken word levels, and to receive detailed information through oral communications and/or to make fine distinctions in sound; visual acuity is required for preparing and analyzing written or computer data, operation of machines, and determining the accuracy and thoroughness of work.
