Document Control Specialist
The Document Control Specialist is responsible for ensuring controlled creation, review, release, distribution, revision, and obsolescence management of company documentation within the management system of the Engineering and Quality Teams. This role plays a central role across multiple stakeholders, ensuring documents are properly reviewed, linked, released, accessible to users, and maintained throughout their lifecycle. This position requires strong experience in documentation management and/or configuration management, as well as excellent organizational and cross-functional coordination skills.
Essential Responsibilities:
- Own and animate the documentation management process across the organization end-to-end process ownership and accountability.
- Coordinate and organize document creation, review, approval, release, and change management workflows.
- Lead documentation release and revision review meetings with all required stakeholders.
- Ensure documents are released in accordance with internal procedures and approval requirements, maintaining a high level of rigor and attention to detail.
- Manage document relationships, traceability, and links between related documents.
- Ensure released documents are properly published and made available to the appropriate users.
- Maintain document status, revision control, and overall document lifecycle integrity.
- Manage document obsolescence, archival, and withdrawal of superseded documents.
- Monitor compliance with document control rules, processes, and system requirements.
- Support users in the proper use of the documentation management system.
- Drive process discipline, visibility, and continuous improvement in documentation management practices.
- Work closely with engineering, quality, operations, and other stakeholders to ensure timely and accurate document control, demonstrating strong cross-functional coordination.
- Provides guidance on documentation and configuration management requirements.
- Manage the company's internal calibration program, including planning, tracking, and maintaining calibration records.
- Coordinate calibration activities to ensure measuring and monitoring equipment remain compliant and available for use.
- Ensure calibration status and related records are properly maintained and accessible.
- Manage company internal calibration program by ensuring all calibration activities are properly planned, tracked, and maintained in line with internal requirements with a strong sense of urgency and follow-through.
Qualifications:
- Proven experience in documentation management, configuration management, or a closely related field.
- Strong understanding of document control, revision management, release workflows, and lifecycle management.
- Experience working with a documentation management system or electronic document management system.
- Demonstrated ability to coordinate reviews and approvals across multiple functions.
- Experience managing or supporting a calibration program is a strong plus.
- Strong organizational skills with high attention to detail and accuracy.
- Ability to manage priorities, follow up effectively, and ensure deadlines are met.
- Strong communication and stakeholder management skills.
- Ability to work in a structured, process-driven environment.
Desired Characteristics:
- Experience in an industrial, engineering, manufacturing, aerospace, or regulated environment.
- Familiarity with quality systems and controlled documentation requirements.
- Experience with configuration-controlled environments and traceability expectations.
- Knowledge of change control processes, calibration control, and document governance best practices.
