Event Planning Assistant

As an event planning assistant, you will support large-scale, mission-driven events that inspire giving, bring people together, and create opportunities to shape a thriving Miami. This is a great opportunity to help execute the nation's largest local giving day and work alongside partners and changemakers in a collaborative, inclusive team environment.

Event Planning Assistant Benefits & Compensation:

  • $22.60$25.00 per hour (equivalent to $47,000$52,000 annually), commensurate with experience

Event Planning Assistant Requirements & Qualifications:

  • Bachelor's degree or equivalent professional experience required
  • 2+ years of experience in event operations, project management, logistics, or related fields
  • Experience supporting large-scale, multi-stakeholder events or campaigns
  • Excellent organizational and time management skills
  • Strong written and verbal communication skills
  • Familiarity coordinating with vendors, partners, and internal teams
  • Proficiency with project management tools and shared documentation platforms

Event Planning Assistant Preferred Background & Skills:

  • Experience working with nonprofit, foundation, or philanthropic organizations
  • Familiarity with large civic events, fundraising campaigns, or community activations
  • Bilingual fluency is a plus
  • Experience managing complex run-of-show documents and on-site event logistics
  • Deep commitment to diversity, equity, and inclusion

Event Planning Assistant Day-to-Day Responsibilities:

  • Manage project plans, timelines, and deliverables for Give Miami Day and other major events
  • Coordinate planning meetings, track milestones, and ensure alignment across teams
  • Oversee event logistics such as load-in/out schedules, equipment, signage, staffing, and on-site support
  • Support permitting, compliance, safety planning, and risk management processes
  • Facilitate information flow and collaboration across internal teams, vendors, and partners
  • Provide on-site leadership and problem-solving during live events, ensuring operational excellence
