Job description

PGS Admissions Counselor

The PGS Admissions Counselor is responsible for implementing comprehensive recruitment strategies and promoting Warner Pacific University's Professional & Graduate Studies (PGS) programs as high-quality, student-centered academic offerings to prospective online undergraduate and graduate students. This role requires a dynamic, self-motivated professional who thrives in a fast-paced, student-focused, and metrics-driven environment and consistently achieves performance benchmarks and enrollment goals while representing the institution with professionalism and integrity.

Reporting to the Director of PGS Admissions, the PGS Admissions Counselor serves as a University ambassador and the primary point of contact for prospective students from initial inquiry through enrollment. This position delivers an exceptional student experience by engaging in meaningful, consultative conversations; providing timely guidance and resources throughout the admissions process; building rapport and trust; and assisting students in navigating key admissions steps, including general financial aid information, program-specific requirements, and associated costs.

This role ensures that prospective students receive accurate, detailed information about academic programs, admissions policies, university resources, and wraparound support services. The PGS Admissions Counselor is also responsible for generating new inquiries and cultivating enrollment pipelines through strategic recruitment initiatives, including on-campus, off-campus, and virtual events, community and employer partnership development, and targeted outreach efforts.

Primary Job Duties and Responsibilities:

  • Cultivate and execute strategic outreach efforts within assigned markets to attract, engage, and convert prospective online undergraduate and graduate students from inquiry through enrollment in alignment with individual and team enrollment goals.
  • Manage and nurture relationships with prospective students throughout the full recruitment lifecycle (Inquiry, Applicant, Admit, Enrolled), conducting consultative interviews to assess the student's academic goals, readiness, and program fit.
  • Complete a minimum of 80 outbound calls per day, with consistent follow-up via email, text, and virtual platforms. Schedule and conduct phone, in-person, or virtual appointments to guide students toward enrollment.
  • Evaluate student eligibility and academic interests to ensure appropriate alignment between student goals and university program offerings.
  • Guide students through the full admissions process, including application completion, required documentation, cost conversations, and next-step coordination.
  • Meet or exceed established recruitment goals and conversion metrics.
  • Maintain accurate and timely documentation of all student data and communications, including calls, emails, texts, appointments, and campus visits within the University's CRM system.
  • Plan and participate in targeted recruitment initiatives designed to generate inquiries and support enrollment growth, including employer and community outreach, partnership development, community college engagement, virtual information sessions, webinars, campus visits, and select on-campus events.
  • Maintain comprehensive knowledge of admissions policies, undergraduate and graduate academic programs, and recruitment practices to effectively advise students. Develop and deliver engaging presentations to prospective students, community partners, and campus stakeholders in both virtual and in-person settings.
  • Collaborate with internal departments, faculty, and staff to support prospective students through the admissions process and ensure there is a seamless enrollment experience.
  • Develop and maintain strong external partnerships with community organizations, educational institutions, and employer partners to promote university programs.
  • Attend recruitment events, information sessions, and outreach activities as needed.
  • Demonstrate adaptability in a dynamic environment while adhering to university policies and professional standards.
  • Perform other duties as assigned.

Minimum Qualifications:

  • Bachelor's degree required.
  • This position requires regular on-campus presence during the workweek to perform the essential functions of the role, with reasonable accommodations provided in accordance with applicable law.
  • Demonstrated ability to independently manage priorities, solve problems, and execute projects in a results-driven environment.
  • Ability to meet performance benchmarks and deadlines in a fast-paced, metrics-driven setting.
  • Strong interpersonal skills and experience engaging effectively with individuals from diverse backgrounds and lived experiences.
  • Excellent written, verbal, and presentation communication skills.
  • Demonstrated proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), CRM systems, and virtual communication platforms.
  • Strong organizational and time management skills with the ability to manage multiple priorities simultaneously.
  • Ability to adapt to evolving processes, systems, and enrollment strategies.
  • Willingness to work flexible hours during peak recruitment cycles, including occasional evenings and weekends.

Preferred Knowledge, Qualifications & Abilities:

  • Prior recruitment, enrollment, or student-facing experience in higher education or a related field.
  • Demonstrated ability to build consultative relationships and guide individuals through complex decision-making processes.
  • Experience working with adult learners, graduate students, or non-traditional student populations.
  • Strong public speaking skills with experience delivering presentations in virtual and in-person settings.
  • High level of service orientation and commitment to delivering an exceptional student experience.
  • Ability to analyze situations, think critically, and respond strategically to achieve enrollment outcomes.
  • Bilingual proficiency in English and Spanish preferred.
