Job description

Who This Role Is For

You’re someone who gets genuine satisfaction from keeping things organized, moving, and on track – you know that when you’re on it, nothing falls through the cracks. You thrive on variety, moving fluidly between coordinating logistics, updating email templates, prepping materials for a designer, and whatever else the day calls for. You bring the same care and commitment to every task, because doing great work is just how you operate. If you’re looking for a role where your attention to detail and follow-through move the needle, where you’ll grow your skills across operations and marketing, and where the work connects to something meaningful, this one’s worth a closer look.

Please note, this is not a remote position and it requires a residence close enough to our Fairport, NY office that in-person work is feasible.

About Babies & Bumps

Babies & Bumps is an education-first consumer event series built for parents with a baby on the way or a new one at home. We produce intentional, highly curated, in-person events in 15 cities nationwide to connect attendees with trusted experts, respected brands, and high-quality local resources at the moment they need them most.

We’re a small, high-performing team that moves quickly, gets energized by doing great work, and cares deeply about the experience we create – both for the families and event partners we serve.

The Position

This role has two distinct areas of operational focus: events and marketing.

On the events side, you’re the person who makes sure everything is in place before our team ever sets foot at an event. Once a partner signs on, you facilitate their journey from onboarding through execution – tracking deliverables, managing logistics, coordinating inventory, and making sure our on-site team has everything they need to walk in prepared. If something is missing, off-spec, or behind schedule, you catch it and resolve it before it becomes a problem.

On the marketing side, you’re supporting how our partners show up across our channels – email, print, digital, and social. That means gathering and organizing assets, prepping materials for our designer, updating templates, and helping package the recap content that goes out to partners and attendees after every event.

You’re part of our home team, keeping everything running smoothly from our Fairport office while our travel team brings it all to life on the ground. You’ll be trained on everything, mentored by our founder and internal team, and set up to genuinely succeed. We’ve also built proprietary tools that make it possible to stay organized and execute at volume without chaos. You’ll also have the opportunity to attend events twice a year – to meet the team, see how your work supports the experience on the ground, and connect more deeply with what we do and why it matters. And as Babies & Bumps continues to scale across new cities and seasons, there’s real opportunity to grow with it.

Key Responsibilities

While the responsibilities below reflect the primary focus of the role, no two weeks look exactly the same. Priorities naturally shift throughout the season, and this role is designed for someone comfortable moving between responsibilities, adapting as needed, and helping elevate the overall experience we create.

Event Support

  • Manage post-contract partner communication across multiple events, ensuring required assets are received on time and in spec, partners are informed on deliverables and logistics, and questions are answered promptly.
  • Update the CRM as assets and information are received from partners.
  • Track and order event supplies to support seamless execution.
  • Manage inventory of partner marketing collateral, prizes, and gift bag products – including receiving shipments, adding to inventory, and storing as needed.
  • Communicate unique partner needs to the team to inform event floorplans.
  • Track shipments and prepare receivables checklists for the Operations Manager.
  • Assist the Operations Manager in preparing handoff materials for the on-site team.
  • Prepare the team for and pitch in on welcome bag and gift bag assembly and pallet packing.
  • Manage the hello@ inbox, rerouting inquiries to our team and responding to attendee questions.

Marketing Support

  • Gather and package graphic assets and information for our designer to produce print and digital materials.
  • Update graphic and video templates and share with the internal team for posting.
  • Upload graphics and handle file prep and modifications as needed.
  • Update emails and build templates in our email marketing platform.
  • Download and file photo and video footage from events, identifying standout content for future use.
  • Use provided stats to draft post-event wrap-up emails for attendees and recap communications for partners, including social and press coverage.

Requirements

Experience & Skills

  • Experience & Education: A bachelor’s degree in marketing, business, communications, or a related field is required. We’re looking for 1–2 years of experience in marketing, event coordination, or a similar role — and for the right candidate, we’ll consider relevant internships, part-time work, or family business experience in lieu of traditional work history.
  • Technical Skills: Comfort in the Apple/Mac ecosystem, proficiency in Microsoft Office Suite, and general tech-savviness with an openness to learning new platforms. Experience with CRM, CMS, and email marketing platforms is a plus, as is familiarity with Adobe Creative Cloud or other graphics software.
  • Communication Skills: Exceptionally strong written and verbal communication skills. Ability to navigate nuance and communicate clearly and professionally with partners, vendors, and internal team members.
  • Travel Requirements: Ability to attend 1-2 events per year to interact in-person with our travel team, get to know our event partners, experience our event flow, and see our work come to life.
  • Physical Requirements: This role is primarily desk-based, with hands-on involvement during event prep periods – including moving and lifting materials (typically 25–30 lbs, occasionally up to 50 lbs), packing and organizing prizes and event supplies, and time on your feet in our office. Reasonable accommodations will be made for individuals with disabilities.

How You Work

  • Highly organized with exceptional attention to detail – you notice what others miss and keep things consistently accurate and on track
  • Proactive and anticipatory – you think ahead and address issues before they become problems
  • Resourceful – you think creatively, take initiative on finding answers, and know when to dig in or seek support
  • Service-minded – you take pride in supporting and taking care of the people around you
  • Systems-focused – you appreciate good structure, follow it consistently, and understand that how things get done matters as much as checking them off the list
  • Discreet and trustworthy – you handle sensitive information with professionalism
  • Comfortable in a dynamic, founder-led environment – you thrive on a small, high-performing team where there are lots of moving pieces and everyone wears a few hats

Passion & Purpose

We're looking for someone with genuine enthusiasm for what Babies & Bumps does, the parents we serve, the communities we support, and the partners who make it all possible.

Benefits

This is a full-time, salaried position based in our Fairport office, with some work-from-home flexibility.

  • Compensation: $42,000 to $48,000 annually, based on experience
  • Health Insurance: Monthly reimbursement
  • Time-off: 15 days vacation, 5 sick days, and 7 paid holidays – plus flexibility for appointments and life outside of work, and a company-wide closure the last week of the year, so everyone gets to fully unplug and recharge.
  • Additional Perks:
    • Direct access to leadership and close collaboration with a small, experienced team
    • Exposure to well-known and emerging brands in the baby and parenting space
    • Opportunity for professional development and advancement as we scale
    • Meaningful impact on thousands of parents and babies across the country

At Babies & Bumps, we believe that having a team of diverse backgrounds and voices working together will enable us to create innovative experiences that improve the way people live, learn, communicate, and grow. We’re proud to be an equal opportunity employer and firmly believe that our work is best when everyone feels free to be themselves.
