The Project Specialist position supports JHS mission of creating a rewarding client and patient experience by ensuring and facilitating well designed, well implemented and well managed capital projects. This practice will be achieved by engaging qualified design and construction vendors, as well as, qualified in-house staff to ensure a proactive contract administration approach in order for projects to complete timely and within budget. The Project Specialist will support the Construction and Design team as needed with daily activities in projects of a diverse nature. This is a project-oriented position with some oversight and works in a confidential capacity. Position requires exercise of independent judgment.

Receives and follows administrative instructions from the Manager(s) and or Directors of the Construction and Design Team. Assists in coordinating phases of construction management with engineering, environmental, security staff, hospital staff and any other project team member as required. Coordinates various project needs: vendors security 101, GC contractors, consultants & engineers. Assists with ensuring that purchases, expenses are in line with the projected budget. Assists with ensuring that payments are carried out accurately and timely. Keep senior department leadership informed as to the updates and progress of the projects. Provides senior department leadership with accurate and complete project status reporting indicating any project concerns, new or pending issues, progress photos, and schedule update in writing on a weekly basis. Seeks the assistance and the counsel of staff when needed. Manages project record keeping whether electronic or paper and project entry systems such as Lawson, eBuilder, and others. Takes, dates and files photos of the project in the Project Standardization folder to document the projects progress. Ensures the confidentiality of information according to Administrative policy and all applicable laws and regulations which govern the entities. Requires the exercise of independent judgment in the performance of their duties and have a significant role in the preparation or administration of budgets. Acts in a confidential capacity in their role and to also assist management leadership in their capacity. Reviews, monitors and updates project electronic files: minutes, logs, RFIs, Change request logs, change order logs, notes, reports of every type, schedules of every type, invoice and pay applications from every vendor. Assists in maintaining eBuilder in a ready state at all times to produce executive status reports on the entire FDC department project list. Assists with administrative departmental tasks as needed. Demonstrates behaviors of service excellence and CARE values (Compassion, Accountability, Respect and Expertise). Performs all other related job duties as assigned.

Generally requires 3 to 5 years of related experience.

Bachelor's degree in related field is preferred.

Ability to analyze, organize and prioritize work accurately while meeting multiple deadlines. Ability to communicate effectively in both oral and written form. Ability to handle difficult and stressful situations with critical thinking and professional composure. Ability to understand and follow instructions. Ability to exercise sound and independent judgment. Knowledge and skill in use of job appropriate technology and software applications.

Valid license or certification is required as needed, based on the job or specialty.

Physical Requirements - Job function is sedentary in nature and requires sitting for extended periods of time. Function may require frequent standing or walking. Must be able to lift or carry objects weighing up to 20 pounds. Jobs in this group are required to have close visual acuity to perform activities such as: extended use of computers, preparing and analyzing data and analytics, and other components of a typical office environment.
