HR Administrative Assistant
Support the HR Team at assigned location in an administrative capacity including but not limited to HR, clerical and customer service functions.
Assist employees with daily questions as the first point of contact for the department
Updates HRIS with employee change requests, processes paperwork, submits changes to payroll
Schedules meetings and interviews as requested by HR Team
Assists HR Manager with projects as needed
Coordinates pre-employment screening process including confirming onboarding schedule with all parties
Coordinates offboarding process including all applicable paperwork and notifications
Participates in New Hire Onboarding
Issues new hire, contractor, and replacement identification badges
Makes photocopies, scans/emails/faxes documents and performs other clerical functions
Maintains all employment files, including creation and filing
Maintains accurate records including I-9s, job requisitions, NYS DOL Variances (in NYS), etc
Completes HR PowerPoint slides for monthly production meetings
Verifies Wellness documentation and enters all Wellness hours/pay earned
Distributes LEAF Award certificates to managers and distributes/tracks the awards to employees
Maintains physical postings in designated areas current employment law posters, lists of internal job postings, benefits changes, and any other HR-related updates
Completes monthly bill coding for cost centers and reconciliations
Responsible for creating various weekly and monthly reports regarding hours worked, headcounts, etc
Report food safety & quality problems to personnel with authority to initiate action
All other tasks as required by manager
Required Education, Skills & Experience:
Associate's or Bachelor's degree in HR, Business, or related field preferred or High school diploma/GED with 2 to 4 years of experience
Previous exposure to clerical work in an HR environment
Intermediate Microsoft Office skills
Must have strong time management, task prioritization, and organizational skills
Must have strong attention to detail
Ability to work with diverse group of employees
Ability to maintain confidentiality.
Working Conditions:
Regularly required to sit, use hands
Occasionally need to lift and/or move up to 10 pounds, with a potential of up to 25 pounds
Sedentary office environment
Occasional exposure to manufacturing plant floor requiring the use of personal protective equipment (ear plugs, safety glasses, bump cap, skid-resistant leather shoes, etc.);
Must follow Good Manufacturing Practice (hair net, no jewelry, no fake nails or eyelashes, no food/drink, gum, etc. in manufacturing Plant).
