Executive Legal Assistant
About the Role:
As the Executive / Legal Assistant, you will provide executive-level administrative and operational support to the Managing Partner while also serving as a key liaison between leadership, attorneys, and internal teams.
You will manage a wide range of responsibilities including calendar coordination, travel planning, meeting logistics, communication management, and special projects. This role requires someone who is proactive, highly organized, and able to anticipate needs while maintaining strict confidentiality.
You will work closely with senior leadership to ensure schedules, communications, and operational priorities are managed effectively. The position also requires flexibility and the ability to shift priorities quickly in response to changing needs.
Key Responsibilities:
- Manage an active and complex calendar of appointments for the Managing Partner.
- Arrange detailed travel plans, itineraries, and agendas; compile documents for travel-related meetings.
- Plan, coordinate, and manage the attorney's daily and long-term schedule.
- Serve as a liaison with senior management teams and communicate information on behalf of the Managing Partner.
- Keep the Managing Partner informed of upcoming commitments, responsibilities, and important firm-related matters.
- Manage and coordinate a variety of special projects.
- Proactively prioritize competing deadlines and manage shifting priorities.
- Prepare and manage monthly expense reports.
- Proofread and edit communications, presentations, and reports for senior leadership.
- Coordinate internal and external meetings, including logistics such as conference rooms, presentation materials, technical support, catering, and attendee tracking.
- Compile and analyze data for leadership as required.
- Perform general administrative duties including recordkeeping, mail management, copying, and scanning projects.
- Provide support for firm-wide initiatives, events, and cross-departmental projects when needed.
Qualifications:
- 3 5 years of Executive Assistant experience, preferably within a law firm environment.
- 3 5 years of Legal Assistant experience.
- Strong understanding of legal terminology, case flow, and legal administrative processes.
- Bachelor's degree or equivalent professional experience.
- Proactive, self-motivated, and solution-oriented with strong problem-solving skills.
- Ability to manage multiple priorities with a high level of accuracy and attention to detail.
- Demonstrated ability to handle sensitive and confidential information with discretion.
- Excellent time management and organizational skills.
- Strong interpersonal skills with the ability to work effectively with professionals at all levels inside and outside the firm.
- Ability to think critically and identify practical solutions to complex administrative challenges.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and SharePoint).
