We are looking for a dedicated and detail-oriented Operations Specialist (Maintenance & Parts Administration) to join our dynamic team. This position serves as a key support role for both maintenance and operations, with a primary focus on parts inventory management, purchase order processing, receiving, accounting support, maintenance documentation, work order tracking, vendor coordination, and fleet support activities. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment while supporting safe and efficient fleet operations. Primary Duties and Responsibilities:
- Create, issue, process, and close purchase orders (POs) within company systems.
- Receive, verify, and reconcile parts, materials, and supplies against purchase orders.
- Assist with invoice processing, coding, and accounting-related documentation.
- Maintain accurate records of purchases, receipts, vendor invoices, and inventory transactions.
- Track and manage inventory levels of parts, tools, equipment, and maintenance supplies.
- Coordinate ordering and receiving of maintenance parts and materials.
- Communicate with vendors regarding pricing, orders, deliveries, shortages, and invoicing issues.
- Maintain maintenance logs, equipment records, warranties, service histories, and related documentation.
- Create, track, and close maintenance work orders.
- Collect completed work orders and enter data into maintenance tracking systems.
- Generate reports related to maintenance activities, downtime, inventory usage, and cost tracking.
- Schedule preventive maintenance services and inspections in coordination with maintenance supervisors.
- Support compliance with company safety procedures and maintenance policies.
- Collect and maintain daily pre-trip and post-trip inspections.
- Monitor driver hours and operational records to support DOT compliance requirements.
- Assign loads to drivers based on designated routes, job requirements, and driver availability.
- Monitor route times and service completion to identify operational gaps.
- Assist with balancing driver workloads and minimizing overtime when needed.
- Perform data entry and administrative support functions for maintenance, operations, and accounting departments.
- Perform other job-related duties as assigned.
Job Qualifications Education:
- High School Diploma or GED required.
Experience and Competencies:
- 2+ years of experience in maintenance administration, parts administration, inventory control, purchasing, dispatching, fleet operations, or a related field preferred.
- Experience creating and receiving purchase orders preferred.
- Basic accounting, invoice processing, or accounts payable experience preferred.
- Strong computer skills, including Microsoft Excel, Word, and Outlook.
- Experience with inventory management, maintenance management, fleet management, or ERP systems preferred.
- Strong organizational, multitasking, and time management abilities.
- Excellent communication and customer service skills.
- Ability to work independently and collaboratively in a team environment.
- Knowledge of fleet maintenance processes and DOT compliance regulations preferred.

Work Environment:
- Typical office environment with occasional visits to maintenance and warehouse areas.
- May require lifting and moving parts, supplies, and inventory items up to 2550 pounds.
- Full-time position, Monday through Friday, 8:00 AM 4:30 PM.
- Occasional schedule flexibility may be required to support operational or emergency needs.
