POSITION SUMMARY: The Administrative & Events Scheduler is responsible for event scheduling and performs a variety of administrative and staff support duties for the department. Assists and directs visitors, resolves administrative problems, schedules events, and staff events, as needed.
JOB DUTIES/RESPONSIBILITIES:
Event Scheduling:

Processes reservation requests for the use of university space, resources, and equipment. Analyzes relevant logistical criteria to resolve conflicting space and resource requests. Communicates to all involved.

Educates clients about University policies and requirements.

Provides direction to clients for planning and identifying resources for high quality events and functions including but not limited to catering, multimedia, and parking.

Monitors foodservice/alcohol exemptions in the reservation system, requests for services and updates reservations as needed with outside vendor information.
Administrative Support:

Supports the Director in all administrative needs.

Greets and directs visitors; resolves routine administrative problems and answers inquiries concerning activities and operations of department; accepts, screens, and routes telephone calls; maintains log of inquiries as required.

Performs a wide variety of typical office duties, often confidential in nature, and operates a variety of office equipment. Maintains files, records, and other documents. Arranges meetings, maintains office calendar and schedules, and manages office supplies.

Assists the Events team, as assigned by the Director, with events such as commencement, orientation, and family weekends.

Performs a variety of office duties to support the smooth and efficient operation of the Events Office, including email inboxes, websites, and additional paperwork.

Performs other duties as assigned.
WORKING CONDITIONS/PHYSICAL EFFORT:
Work is normally performed in a typical office environment, with long periods of sitting and working at a computer. Must be able to lift 15 pounds. Work requires occasional nights and some weekends, including commencement and special university events.

General knowledge of Microsoft Office Suite and event scheduling software; ability to learn new software.
EDUCATION & EXPERIENCE
-
High school diploma or GED required.
-
2+ years' experience in administrative support functions, in an office setting.
-
Experience in higher education environment preferred.
WORK HOURS:
-
Full-time; Non-exempt
-
Monday-Friday 8:30AM-5:00PM with flexibility required
SALARY STRUCTURE:
Pay Grade 4 (Hiring Range $18.18 to $22.72 per hour)
