Campus Support Administrator
The Campus Administrator supports the activities of the Campus President and provides administrative support in the areas such as generalized administrative tasks, licensing, and regulatory matters. The Campus Administrator will also play an active role in student interactions and work closely with other campus staff and faculty members.
Supports the Campus President and coordinates support for the other administrative and leadership, members. Provide administrative assistance including creating documents, receiving visitors, and scheduling appointments as directed by the Campus President
Interacts with campus employees, students, or outside contacts to provide information, solve routine problems, or otherwise respond to request; represents the campus president where appropriate within the college community as well as with external agencies
Schedules regular and special meetings: prepare agendas and pre-meeting materials, record and route minutes. Coordinate meeting room and food arrangements
Maintaining current regulatory agency files, documentation, employee lists and organization charts
Monitors and prepares documents relating to college accreditation, to include the preparation of the annual reports, collaboration with accrediting representatives, and other accreditation issues as directed by the Campus President
Coordinates students and faculty orientations, graduations, and student activities as needed
Planning and coordinating major campus events
Handles sensitive information in a professional and confidential manner. Escalates issues to appropriate individual. Prepares confidential correspondence
Coordinates and implements issues related to campus facilities such as keys, parking permits, security cards, janitorial needs, HVAC adjustments, etc
Assist other team members with student issues as directed by the Campus President. These areas may include assistance with student activities, testing, business office receipts, complaints, facilities issues, etc
Attends meetings, record meeting minutes and prepares additional reports as needed
Develops other reports, documents and publications to assist in the operation of the college
May be asked to ensure the accurate and timely completion of regulatory and licensing requirements including preparing and participating in campus audits. Develops and maintain a licensing renewal and provide monthly changes to appropriate states and agencies
Demonstrates good judgment and confidentiality
Proven ability to discreetly and confidentially handle sensitive topics and correspondence
Previous experience supervising or coordinating staff projects desired
Must be proficient with Work, Excel, and PowerPoint
Attention to details essential, including proofreading documents and lines of text and numbers
Strong problem-solving abilities essential
Strong organizational skills
Ability to multi-task, and change projects priorities, essential
Flexibility and strong work ethic essential
Ability to work independently
Ability to communicate professionally, with clarity and brevity, required-both orally and in writing. Proven ability to deal with a variety of individuals and situations in a professional environment
Qualifications
High School diploma or GED required
Associates degree preferred
Three (3) years administrative and/or secretarial experience
This position requires a person to stand and sit for prolonged period of time, lift and carry up to 50 pounds and walk three flights of stairs. Understands the speech of another person. The long days can be physically demanding. While performing the duties of this job, use fingers to grasp, move, or assemble very small objects. Make fast, repeated movements of fingers, and hand, and wrists to finger; and talk or hear.
