Senior Purchasing Coordinator

We take a comprehensive approach by offering more than 180 integrated programs in: Education & Youth Development, Family Support, Job Training & Employment Support Services, Health, Housing, and Legal Services. We reach almost 80,000 individuals and families, including almost 13,000 youth. CAMBA serves a diverse cross section of New Yorkers from new mothers in Brownsville to job seekers in the Rockaways. More than half of our clients are immigrants and refugees from around the globe. Over 85% of our families are living in poverty, reflecting the challenges faced by nearly 1.7 million New Yorkers today.
The purchasing department is responsible for addressing the purchase needs of all CAMBA's programs by adhering to funder and agency purchase regulations.
The Senior Purchasing Coordinator is responsible for:
- Following CAMBA's Procurement Policy
- Researching and expanding the agency's M/WBE vendor list selecting from the NY City and NY State databases
- Researching and expanding the agency's Purchasing group vendors selecting from their catalogs.
- Attending M/WBE vendor recruitment events and conferences sponsored by CAMBA funding agencies.
- Interviewing new vendors
- Creating new vendor accounts
- Assisting with M/WBE contractual compliance
- Communicating with vendors to request required documents and reviewing submitted documents for completion and compliance with procurement rules and regulations.
- Obtaining signed letters of intent, COIs and other required documentation.
- Maintaining the vendor M/WBE Certificates and verifying M/WBE Status.
- Assisting with keeping records on contract requirements regarding purchasing, vendors and purchasing groups.
- Generating reports as needed
- Maintaining up-to-date file system. Entering data into the purchasing system.
- Creating and facilitating procurement presentations and trainings on programs, policies, and compliance for staff and vendors. Assisting vendors with procurement regulations, processing, and payments.
- Updating CAMBA's MWBE Vendor List/Preferred Vendor List
- Communicating and sharing vendor information with CAMBA Staff
- Assisting with purchasing/procurement support (i.e.-reconcile purchase orders and invoices).
- Maintaining professional relationships with vendors.
- Complying with all Federal, State, City and CAMBA security and privacy policies intended to protect the security and privacy of individually identifiable information.
- Maintaining accurate files of paperwork of all orders (i.e. - copies of Purchase Order forms, Purchase Request forms.
- May track packages and follow up on back orders.
- May assist with following up on programs purchase request forms.
- May answer and screen incoming telephone calls as needed.
- Tasks may be modified, expanded, and/or assigned over time.
Minimum Education/Experience Required:
- Associate's degree and two years' experience.
- Experience using Microsoft Office applications (Word, Excel and Outlook).
- Strong typing skills necessary.
- Good written & verbal communication.
- Computer skills.
- Lift and move boxes.
Preferred Qualifications:
- Knowledge of non-profit purchasing processes.
- Knowledge of M/WBE city and/or state certified.
Compensation: $55,000- $60,000 annually When salary ranges are listed, the range would represent the low and high end for the applicable position & program. The salary offered would be based on various factors unique to each program and candidate. This includes but is not limited to experience, education, budget and/or program size, internal equity, skills and other factors that may be required for the position and organization.
