Job Title
Ensures project quality documentation, records, and turnover deliverables are accurate, and client-ready. Manages Procore quality folders, testing reports, job books, and data logs while coordinating client handover and database transfers. Supports field documentation systems and promotes adherence to the Quality program procedures, and contract requirements across the project lifecycle.
Responsibilities
Essential Job Functions:
- Create and maintain project Job Books in accordance with approved Table of Contents (TOC), contract requirements, and company standards.
- Organize, track, and compile turnover documentation ensuring completeness, traceability, and audit readiness.
- Prepare and facilitate client acceptance and closeout documentation, coordinating with field teams, subcontractors, engineering, and stakeholders to collect required records.
- Build, structure, and maintain the project Procore Quality folder including inspection templates, ITPs, checklists, and TOC documentation.
- Ensure all quality documents are current, properly named, revision-controlled, and compliant throughout the project lifecycle.
- Compile, verify, and manage project quality logs including concrete break logs, grout break logs, thermal concrete data, and other testing records.
- Maintain project quality databases and identify missing, inconsistent, or non-compliant documentation, coordinating corrective actions as needed.
- Establish and manage client document control platforms and job book structures per contract requirements.
- Execute document transfers from Procore to client databases ensuring format, naming conventions, and metadata compliance.
- Review third-party testing reports for completeness and upload approved reports to Procore and client systems.
- Track outstanding test reports and coordinate timely submission with laboratories and inspectors.
- Support development and ongoing maintenance of Smartsheet field documentation tracking systems
- Monitor field documentation accuracy and guide project teams on proper documentation procedures.
- Promote and communicate adherence to the Quality Program, Quality Plan, policies, and procedures.
- Support audits, turnover reviews, and lessons learned by maintaining accurate and organized quality records.
Qualifications
Education and Work Experience Requirements:
- Associate degree (AAS) or other two-year college degree in quality, industrial technology, engineering, construction, welding or other related technical field
- Preferred Bachelor's degree (B. S.) from four-year college or university in quality, industrial technology, business management, construction, science or related major
- 0 - 1 year of quality experience in construction or operations - with exposure to civil, electrical, mechanical, pipeline/oil/gas, industrial, agricultural or welding activities
Knowledge, Skills and Abilities Required:

- Apply principles of quality, lean kaizen and continuous improvement
- Proficient in Microsoft Office Word, Excel, and Outlook
- Read, analyze and interpret blueprints, professional journals, technical procedures, contracts or governmental regulations
- Write reports, technical specifications, work instructions, procedures, business correspondence and document quality related issues and activities
- Effectively present information and respond to questions from project managers, superintendents, clients, customers and the general public
- Effectively communicate and develop positive working relationships with the owner, owner's representative, and the Company's site supervision, in order to facilitate the quality objectives
- Calculate figures and amounts such as discounts, interest, proportions, percentages, area, circumference and volume
- Ability to apply concepts of basic algebra, statistics and geometry
- Solve practical problems and deal with a variety of concrete variables in standardized situations
- Interpret a variety of instructions furnished in written, oral, diagram or schedule form
Working Environment:
- When visiting jobsites, the work environment involves some exposure to hazards or physical risks, which require following basic safety precautions
- This work environment may involve moderate exposure to unusual elements, such as extreme temperatures, dirt, dust, fumes, smoke, unpleasant odors and/or loud noises
