Contracts Specialist

Job Summary

The Contracts Specialist serves as the primary internal resource for various departments related to contracting. This position reviews and negotiates contracts on behalf of our organization, ensuring that all contracts comply with legal, regulatory, and organizational standards. This position is also responsible for ensuring the careful management of contracts in the contract management system (CMS) and that all forms of written documentation, and agreement terms & conditions are properly maintained.

Primary Job Responsibilities

  • Performs review for completeness of agreement submissions from departments; solicits additional information when necessary; works to standardize contract package submissions from departments
  • Enters contracts into Agiloft; understand the workflows of Step One teams, and ensures appropriate reviews are queued up in the system; shepherds contracts through the contracting system, working to incorporate changes suggested by SLU teams such as the Office of General Counsel and Information Security; negotiates with other party as needed
  • Communicates regularly with interested parties in departments and CMS Teams on contract status, negotiations, next steps, etc.
  • Monitors agreement termination dates, renewal and cancellation deadlines in CMS; works with department/division liaison to effectuate termination or renewals
  • Independently manages workflow to achieve and maintain performance standards set by management; maintains all written documentation in the CMS and regularly updates said database with relevant developments
  • Understands legal, institutional and departmental goals to determine how to best achieve desired results in terms of the agreement and ancillary documents
  • Assists end users and Step One teams with contracting needs, including troubleshooting issues, workflow changes, reporting, etc.
  • Performs duties necessary to the efficient operation of CMS system, including adding, removing and revising profiles for individuals and departments within the CMS; works with CMS provider on support and enhancement tickets; work with ITS Support to test new releases, integration needs, etc.
  • Develops and maintains service level agreements (SLAs) with regards to contracts processing
  • Provides reporting, training and contracting communication to departments
  • Performs other duties as assigned

Minimum Qualifications

  • Bachelor's
  • Three or more years of related work experience
