Job Description
Key Responsibilities
Executive & Administrative Support
- Manage complex executive calendars, including scheduling internal and external meetings, prioritizing conflicting demands, and ensuring alignment with business priorities.
- Coordinate domestic and international travel arrangements, itineraries, and logistics.
- Prepare, review, and process expense reports, invoices, and related administrative documentation.
- Maintain and organize confidential files, correspondence, and executive records.
- Track and follow up on action items, deadlines, and key initiatives with limited direction.
- Anticipate executive needs and establish or improve administrative processes to increase efficiency and effectiveness.
Board of Directors Support
- Coordinate logistics for Audit Committee meetings, committee meetings, and related governance activities as needed.
- Prepare, compile and format board presentations and supporting reports.
- Maintain confidentiality and secure handling of sensitive board-level information.
Meeting & Event Coordination
- Plan and execute finance meetings, finance leadership sessions, and finance town halls.
- Manage CFO meeting logistics including agendas, materials, room setup, and vendor coordination.
Communication & Documentation
- Create, proofread, and distribute executive communications and presentations for a variety of audiences.
- Draft, edit, and refine correspondence, reports, and messaging on behalf of the CFO.
- Communicate professionally and effectively with stakeholders at all levels, including executives and team.
Office & Operational Support
- Ensure efficient and professional daily operation of the executive office.
- Support document retention processes and organizational systems.
- Provide administrative and operational support to senior finance team.
- Manage departmental budgets and related tracking activities.
Basic & Preferred Qualifications
Qualifications
- High School Diploma required; Associate or Bachelor’s degree in Business Administration or related field preferred.
- Minimum of 4 years of experience providing administrative support to senior leaders or executives.

- Proven ability to produce high-quality, accurate work under tight deadlines.
- Exceptional organizational, prioritization, and time-management skills.
- Strong problem-solving abilities and proactive mindset.
- High degree of professionalism, tact, diplomacy, and discretion.
- Ability to handle highly confidential information with sound judgment.
- Excellent interpersonal and relationship-building skills.
- Strong attention to detail and follow-through.
- Adaptability and responsiveness to changing priorities.
- Advanced proficiency in Microsoft Outlook, SharePoint, Word, PowerPoint, and Excel.
