Job Description
We are looking for an organized and dependable Service Coordinator to join our lawn care and landscaping team. The ideal candidate will have experience using HindSight or similar field service scheduling software , excellent customer service skills, and basic Quick Books knowledge. This role is essential to maintaining daily scheduling efficiency, ensuring customer satisfaction, processing payments, and keeping customer accounts current and in good standing.
Duties :
- Answer Phones : schedule service appointments and direct calls to appropriate person / department
- Check messages first thing in morning and regularly throughout the day. Return service scheduling calls
- Call to schedule appointments for maintenance customers
- Prepare bid request forms, record in “Prospect” book, copy, file and give to appropriate person / department
- Route daily service calls according to zones, fastest drive times, technician skill and customer preferences
- Print next day back-flow test forms.
- Process previous day work orders.
- Send plumber lists of city back-flow tests needed
- Review all back-flow tests for accuracy
- Contact service technician(s) for corrections to back-flow tests
- Door greeter
- File all customer paperwork
- Field customer complaint calls, resolve service related complaints
- Prepare and maintain city customer reports and follow up with plumber to make sure tests are performed and submitted to city
- Resolve customer questions regarding back-flow test status
- Resolve customer complaints Schedule services and follow up with department managers and customers
- Maintains customer satisfaction by investigating concerns, routing them to the assigned staff, and responding to special requests
- Coordinate, prepare, send and follow up with rehab and repair contracts
- Complete maintenance plan forms with credit card information for “call in purchasers” and give to Accounts Receivable
- Keep track of each technician
- Contact service technicians as requested by customers to relay pertinent information
- Maintain records of pertinent scheduling information in Smart Service and / or Quick books
- Assist with miscellaneous payroll issues (ie : when did employees clock in / out, what projects were employees working on, giving documents such as insurance forms and payroll deduction to employees and explaining their purposes, giving employees information regarding vacation)
- Responsible for generating, interpreting, and printing various assigned reports
- Responsible for and / or assisting with all other invoicing
- Purge files (yearly)
- Train office assistant
- Manage office assistant
