Grants Project Administrator

Parkhill is on the lookout for a skilled Grants Project Administrator to join our growing Water Resources Team. The Grants Project Administrator provides administrative support for grants and project managers, ensuring efficient management of grant programs and compliance with related procedures. This role includes coordinating meetings, tracking financial documentation, and assisting clients with grant processes.

Parkhill is one of the largest architectural and engineering firms in the Southwest with 15 offices located throughout Texas, New Mexico, and Oklahoma.

Responsibilities

  • Provide administrative support, including copying, scanning, emailing, printing, and filing documents.
  • Organize and coordinate administrative duties and grant program procedures.
  • Schedule meetings and appointments; distribute agenda items to clients.
  • Attend bid openings as required.
  • Support grants and project managers in grant administrative responsibilities and work toward CDBG certification.
  • Attend grant-related workshops and maintain knowledge of grant compliance requirements.
  • Track, approve, and maintain wage rates and contractor payroll records in compliance with Department of Labor Davis Bacon Wage Rates.
  • Prepare grant fund drawdowns and expenditure reports using the Oklahoma Grants System.
  • Contact clients monthly to obtain financial documentation for grant records.
  • Distribute annual Fair Housing Activities to clients and verify local compliance.
  • Maintain client contact information and assist with DUNS numbers and SAM.gov registrations.

Qualifications

  • Ability to efficiently work in the Microsoft Office Suite, including excel, word, and PowerPoint.
  • Ability to read and comprehend instructions, correspondence, and memos.
  • Ability to compose and produce routine correspondence.
  • Ability to meet with clients and initiate discussions about grants.
  • Ability to understand generally accepted accounting standards to assist with client's financial ledgers.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
