Job description

Coordinator of Student Information Systems

Under moderate supervision, oversee and manage all aspects of Frontline/TEAMS, the District's Student Information System (SIS), to ensure optimal functionality, data integrity, and efficient daily operations. This role serves as the primary administrator for the SIS, coordinating data collection, system configuration, and user management across all campuses and departments. Additionally, the role ensures that student data accurately supports district operations, state PEIMS reporting, accountability metrics, and funding structures.

Qualifications:

Bachelor's degree required

Technical familiarity with Texas Education Agency (TEA) data systems, including TSDS, Ed-Fi integration, and state data standards.

Exceptional analytical and problem-solving skills, with a proven ability to interpret complex data sets, troubleshoot system issues, and generate accurate reports.

Comprehensive working knowledge of all federal, state, and local board policies, including the Texas Education Data Standards (TEDS) and PEIMS coding practices.

Deep understanding of the Student Attendance Accounting Handbook (SAAH) procedures and district enrollment operations.

Thorough understanding of Texas Education Code (TEC) Chapter 37 and state student discipline data standards.

Special Programs & Curriculum: Knowledge of K-12 operational processes, including Career and Technical Education (CTE) programs of study, College, Career, and Military Readiness (CCMR) courses, course coding, and special programs data requirements.

Proven ability to manage time effectively, prioritize critical system issues, multi-task under pressure, and consistently meet strict state reporting deadlines.

Strong interpersonal, leadership, and communication skills, with the ability to translate complex technical concepts for non-technical campus and district stakeholders.

Underscored commitment to ethical data behavior and the strict maintenance of student data privacy and confidentiality (FERPA)

Three (3) or more years of experience in K-12 student data management preferred.

Advanced proficiency in managing student information systems, specifically Frontline/TEAMS, alongside a deep understanding of electronic student records and master scheduling architecture.

Major Responsibilities and Duties:

Student Information System (SIS) Management & Administration:

1. System Administration: Provide comprehensive end-user support for Frontline SIS; manage system configurations and develop technical documentation.

2. Master Scheduling & Gradebooks: Guide, train, and support campuses with building master schedules and digital gradebooks; monitor scheduling and grading for compliance with state regulations and district procedures.

3. Campus Support: Provide ongoing technical support, guidance, and troubleshooting for campus administrators, registrars, and counselors.

4. Registration Operations: Partner in the annual review, development, and maintenance of documentation and operational processes for online student registration.

5. Systems Integration: Collaborate with the Enterprise Systems team to enhance the efficiency, integration, data flow, and overall functionality of interconnected district systems.

6. Cross-Departmental Support: Partner with and support central office departments (e.g., Special Education, Bilingual/ESL, Transportation, Athletics, and Food Services) to ensure the SIS effectively meets their specific data and operational needs.

Data Integrity, Compliance & Reporting:

7. Compliance Oversight: Ensure district-wide compliance with all federal, state, and local board policies regarding the coding, management, and reporting of student information.

8. PEIMS Collaboration: Partner closely with the Director and Coordinator of PEIMS to prepare, validate, and submit all state- and federally-mandated data collections.

9. Data Dissemination: Retrieve, organize, and securely disseminate data related to mandated state and federal submissions.

10. Reporting & Analytics: Ability to build custom queries and generate accurate, reliable student-related data and customized reports for district departments, campuses, and authorized research studies upon request.

11. Policy Maintenance: Assist in the ongoing development, review, and maintenance of local board policies related to student information and data governance.

Professional Leadership & Training:

12. Subject Matter Expertise: Serve as the district's primary subject matter expert on all inquiries relating to student information, data standards, and SIS operations.

13. Professional Development: Design, develop, and deliver targeted training for district and campus personnel regarding appropriate scheduling, transcription, data coding, and student information management.

14. Strategic Input: Represent student information interests by providing data-driven input during the district's annual calendar creation process.

15. Continuous Learning: Maintain up-to-date knowledge of industry trends and regulatory changes by participating in professional meetings, conferences, and collaborative networking.

Operational Support:

16. Departmental Support: Perform other duties as assigned by the Director of PEIMS, Records and Student Enrollment or Executive Director of Student Services.

Environment: Work is performed in an office setting; may require occasional irregular and/or prolonged hours and in person attendance required. Mental Demands: Maintain emotional control under stress; work with frequent interruptions; work after-hours as necessary; frequent district-wide travel and occasional out-of-district travel. Other: Follow district safety protocols and emergency procedures; Other duties as assigned.
