Administrative Assistant
As the Administrative Assistant for one of our two locations, you will be the first point of contact for our company. The duties include offering administrative support across the organization. You will welcome guests and greet people who visit.
Responsibilities :
- Greet and welcome guests upon arrival.
- Guide visitors to the appropriate person and office.
- Oversee schedule for conference rooms and company vehicles.
- Answer telephones, direct calls, and take messages.
- Communicate with visitors, employees, and other individuals.
- Ensure reception area is tidy and presentable at all times.
- Inventory, order and stock all office and other general supplies needed.
- Inventory, order and stock all break room supplies.
- Organize and neaten all break room and copy room areas.
- Open, sort, and route incoming mail and prepare outgoing mail.
- Type, format, proofread, and edit documents.
- Make travel arrangements for office personnel.
- Arrange the shipping and receiving of mail and possibly packages.
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
- Provide general administrative support as needed.
- Other duties as assigned.
