Purchasing Administrative Assistant
Position Overview : The Purchasing Administrative Assistant provides operational and administrative support to the Purchasing and Accounts Payable teams. This role ensures accurate processing of purchasing transactions, maintains system integrity, and supports cross-functional coordination to ensure timely and compliant procurement activities.
Key Responsibilities :
Process purchasing batches accurately and in a timely manner in accordance with company policies.
Create, review, and maintain purchase orders (POs), including PO add-ons and revisions.
Monitor and resolve unapproved additions, discrepancies, and system exceptions.
Review, reconcile, and process expense reports for accuracy and policy compliance.
Provide support to the Accounts Payable (AP) team, including invoice matching and issue resolution.
Maintain and support TrackVia data entry, reporting, and workflow processes.
Coordinate with internal teams and vendors to resolve purchasing and payment issues.
Maintain accurate purchasing records and documentation for audit and reporting purposes.
Provide general administrative and operational support to the Purchasing team as needed.
Position Requirements :
Required Skills and Abilities :
Basic computer skills (Excel, Word).
Strong attention to detail and organizational skills.
Ability to manage multiple tasks and meet deadlines.
Proficiency with purchasing systems and expense management tools.
