Document Control Specialist II (Non-Exempt)
The Document Control Specialist II manages the flow of construction documentation to ensure accuracy, compliance, and timely distribution. Responsibilities include maintaining Autodesk Construction Cloud (ACC) and Egnyte, processing submittals and RFIs, generating logs and reports, and organizing project files. This role supports project teams by coordinating with managers, engineers, and client representatives on deliverables, scheduling, inspections, and contract requirements. The Specialist also assists with quality management, bid estimating, and process improvements. Strong organizational skills, attention to detail, and the ability to collaborate across multiple disciplines are essential.
PRIMARY RESPONSIBILITIES
- Maintain and administer project document management platforms, including Autodesk Construction Cloud (ACC) and Egnyte.
- Assist with the processing of submittals and ensure accurate entry into ACC.
- Generate and maintain submittal logs, RFI logs, and other document control reports.
- Receive, log, and track plans, specifications, and revisions as submitted.
- Distribute plans and specifications to contractors, subcontractors, and designers.
- Organize and maintain electronic project documentation files.
- Collaborate with superintendents, engineers, and administrative staff as needed.
- Coordinate with client and design representatives regarding project documentation.
- Support project leadership—including project managers, construction managers, and engineers—by facilitating submittals, RFIs, drawings, specifications, and related documentation.
- Manage and oversee deliverables processes, ensuring timely submission and proper documentation.
- Communicate with site managers to track and coordinate deliverables.
- Respond to evolving client requirements and ensure adjustments are documented and implemented.
- Contribute to process development and continuous improvement initiatives.
- Partner with quality management, project scheduling, and compliance teams to ensure adherence to contracts, timely inspections, and proper cash flow management.
- Monitor and support accurate time tracking and billing processes related to client accounts.
- Participate in bid estimation activities as required.
