General Description / Primary Purpose

The Administrative Coordinator serves as a central operational leader within the Graduate School, ensuring seamless administrative, financial, and programmatic support across the division. This role is pivotal in maintaining the Graduate School's efficiency and responsiveness to students, faculty, and staff. In addition to managing day-to-day operations, the Administrative Coordinator plays a strategic role in budget oversight, event coordination, and internal communications. The position also facilitates onboarding and training for new personnel and serves as a liaison between academic departments and administrative units. By streamlining processes and fostering collaboration, this role contributes directly to the Graduate School's mission of academic excellence and student success.

Key Responsibilities

Graduate Program & Faculty Support

  • Manage graduate student and faculty-related procedures.
  • Oversee university-wide Graduate Assistantship and award processing.
  • Liaison between The Graduate School and college units.

Administrative Operations

  • Provide onboarding support for new personnel (equipment, access, training).
  • Manage office operations and Graduate School Graduate Assistant schedules, including front-desk support and phone coverage, and campus event coverage.
  • Maintain contact lists, listservs, and handle internal / external communications.
  • Schedule and manage events, facilitate meetings, and record minutes.
  • Organize internal Graduate School events.
  • Arrange travel schedules, accommodations, and reimbursements for Graduate School staff.
  • Budget & Financial Management

  • Oversee the Graduate School budget, including travel, hiring, supplies, events, memberships, and invoicing.
  • Monitor and track expenditures; produce monthly financial reports and reconciliations.
  • Reconcile student funding records, including scholarships, awards, and stipends.
  • Ensure compliance with university financial policies and procedures.
  • Required Qualifications

    Master's or Bachelor's degree and 2+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Required Qualifications

  • Experience administrative support, event planning, and communications.
  • Proficiency in budget management using financial systems such as Workday.
  • Familiarity with higher education systems (e.g., Slate, Workday, Banner).
  • Strong organizational and communication skills.
  • Detail-oriented with the ability to manage financial data and meet deadlines.
  • Ability to work independently and collaboratively in a professional setting.
  • Commitment to excellent customer service and process improvement.
  • Proficiency in Microsoft Excel (formulas, pivot tables, data analysis).
  • Preferred Qualifications

  • Experience in data management.
  • Prior experience in higher education.
  • Experience in a university budget or operations role.
  • Experience using Workday.
