We are looking for an Office Manager & Administrative Assistant to join M&C Saatchi World Services one of the specialist divisions within the M&C Saatchi Group.
The role is based in the NYC office on a full time basis.
The role :
The Office Manager & Administrative Assistant will play a key role in ensuring the smooth operation of the New York office. Reporting to the Senior Business Operations Manager and Managing Director this position will be responsible for managing day-to-day administrative operational and coordination tasks supporting both office staff and leadership and maintaining effective collaboration with the global operations and HR teams.
What youll do :
Operational & Administrative
- Collaborate with the US and Global Operations and HR teams to establish and maintain office processes and standards.
- Manage onboarding processes for new hires including coordination with IT for equipment access and orientation.
- Oversee day-to-day office management :
- Supplier and vendor coordination (cleaning maintenance landlord catering A / C plants security systems).
- Expense management and reconciliation (company cards staff purchases IT equipment business cards).
- Maintain office records insurance documents and asset registers.
- Coordinate visitor management meeting room bookings and apartment maintenance.
- Liaise with IT to ensure seamless technology setup and troubleshooting for office and staff.
- Partner with HR and the UK office to maintain benefits welcome packages and policies.
- Support recruitment efforts including drafting job descriptions posting roles managing applications scheduling interviews and collating feedback.
Event & Coordination
Organize in-office catering staff socials and client events.Support with travel and logistics for leadership and staff (flights hotels itineraries visas and expenses).Assist the Managing Director with calendar and email management meeting coordination and documentation.Relationship Building
Serve as a positive force in the office contributing to culture communication and engagement.Foster strong relationships with staff across levels becoming a trusted and reliable partner.Take ownership of the nuts and bolts of office management ensuring professionalism in all client and staff interactions.Handle sensitive HR and financial information with utmost discretion and confidentiality.About the role :
What you bring (skills experience) :
13 years of experience in administrative and operational roles within a similar office environment.Strong practical understanding of commercial office and administrative operations.Exceptional organizational prioritization and time management skills.Proven ability to build and maintain relationships with internal teams and external providers.Excellent verbal and written communication skills.Proficient in Microsoft Office Suite (Outlook Teams Word PowerPoint Excel).Fluent in written and spoken English.What you are good at :
