Job Title: Data and Records Management Specialist

Location: 2 days reporting to Chatsworth or Gas Tower

• LA: 555 W 5th St, Los Angeles, CA 90013

Travel: Hybrid, 3 days in office
Reason for Need: Backfilling two existing contractors

Project Details:
Seeking a diligent and detail-oriented Data and Records Management Specialist to join our team. This role is integral to ensuring the accuracy and efficiency of our data management processes, supporting the ESCMP, and maintaining records. The ideal candidate will have experience with Maximo, Cognos, and MyTSR/PDMS systems, and will be responsible for a variety of clerical and data management tasks.

Top Skills:
– Proven experience with Maximo, Cognos, MyTSR , and PDMS systems.
– Strong attention to detail and excellent organizational skills.
– Ability to manage multiple tasks and prioritize effectively.
– Strong communication skills for following up with various departments and stakeholders.
– Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
– Ability to work independently and as part of a team.

Nice to have:
– Previous experience in data management or a similar role.
– Knowledge of ESCMP and related data validation processes.
– Familiarity with records retention policies and procedures.

Additional requirements:
– May be required to assist with tasks or duties not yet outlined or specified as needed.
– Strong analytical skills for data comparison and validation.

Day to Day Responsibilities:
ESCMP Support:
– Assist in validating My Learning entries to ensure they match the master matrices.
Maximo/Cognos Management:
– Follow up and perform data mining in Maximo for DRs.
– Pull and review reports for data accuracy and analysis.
– Upload and manage 3995 forms, prepare forms for upload, and send errors to Tech Specs.
– Add missing data points such as PM Class and asset type.
– Map TSRs to follow-up work orders and add activities to job plans.
– Compare Maximo activities with MyTime entries.
– Assist in creating Maximo job aids.
My TSR/PDMS Support:
– Look up, link, and create historical cases as requested.
– Upload documents and emails, search for PCMRS, drawings, and other documents.
Blowdown Data Management:
– Follow up with districts for clarification on forms not submitted.
– Verify submission of required forms and cross-reference with Emission Strategy’s information.
– Review and address forms in submitted status that haven’t been completed.
Clerical Duties:
– Create and sort reports.
– Assist with priority requests and duties as assigned.
– Support records retention by reviewing disposal logs, ensuring manager signatures and cost centers, and following up as needed.
