Position Summary :

The Administrative Specialist at the Georgia Center for Continuing Education & Hotel supports both human resources and finance functions. This position is primarily responsible for all payroll functions and managing all transactions in UGA’s payroll management system. They also assist with accounts payable and financial reporting duties. This role manages a wide variety of transactional activities to ensure the timely and accurate completion of many key business operations within the Georgia Center.

Duties / Responsibilities :

Payroll

  • Manage payroll for seasonal employees in Continuing Education.
  • Monitor daily position and payroll exceptions. Notify managers and employees of discrepancies.
  • Run and review payroll reports and supervisory reports to ensure accuracy.
  • Manage all automatic meal deductions.
  • Remind staff of payroll deadlines and ensure accurate timesheets.
  • Submit Georgia Defined Contribution Plan (GDCP) terminations for temporary employees.
  • Submit tuition waivers and create application links for graduate assistant postings.
  • Manage payroll paid from suspense accounts.
  • Notify supervisors of payroll deadlines (including early cut-offs, inclement weather, holidays, etc.)
  • Process Food & Beverage daily tips and ensure accurate reporting.
  • Provide monthly overtime reports to leadership.
  • Percentage of time : 30

    Duties / Responsibilities :

    OneUSG Connect

  • Submit and manage all human resources transactions in OneUSG Connect, including ad hoc salary changes, position funding requests, time and absence approver updates, and employee terminations.
  • Maintain and track activities for leadership reporting.
  • Manage the reclassification of all Georgia Center Student Staff twice a year (student-to-temp and temp-to-student reclassifications in May and August).
  • Percentage of time : 30

    Duties / Responsibilities :

    Finance & Procurement

  • Act as P-Card Cardholder for Finance & HR purchasing needs and maintain all proper documentation.
  • Review and approve payment requests for all Georgia Center invoices.
  • Serve as UGAmart initiator for all carts, invoices, and receipts.
  • Distribute monthly reports including the Open Purchase Order Report and telephone bills.
  • Percentage of time : 30

    Duties / Responsibilities :

    Administration

  • Respond to inquiries sent to departmental HR email and provide timely support.
  • Serve as a point of contact for employees regarding payroll, benefits, and HR processes.
  • Attend monthly divisional meetings and OneSource status calls.
  • Participate in annual UGA trainings and Journeys Assessment Evaluations.
  • Percentage of time : 30

    Other duties as assigned to support the Assistant Director of Finance & Human Resources and the Georgia Center for Continuing Education & Hotel.
