Clinic Assistant
HealthPartners is hiring for a part-time Clinic Assistant at our Apple Valley Clinic. Qualifications include a high school diploma or GED, and meeting one of the following : graduate of a formal training program in medical reception, an equivalent program, or a customer service program. Experience includes two years as a medical receptionist or in a customer service position, one year using data look-up and data entry functions on a mainframe or PC based computer system, and one year customer service experience either via telephone or in-person within the last five years. Demonstrated ability to organize work under pressure, function with multiple priorities and interruptions, and excellent oral and written communication skills are required. Physical requirements include the ability to sit or stand for prolonged periods of time, adequate speech, vision, and hearing, and proficiency in English is required. Use of a telephone and computer terminal also requires adequate handwriting and manual dexterity skills.
Position purpose is to provide service excellence centered on patient care and patient relationships, and to work as an effective team member. This position is a vital point of contact for a patient entering the HPMG Clinics, facilitating the process of scheduling appointments and having responsibility for accurate collection of current financial and demographic information. This position directly impacts revenue collection for the medical group.
Accountabilities include : customer service care for each person as he / she would like to be cared for by putting the patient first at every opportunity, listening to understand each patient, showing concern for each patient, and acting individually and with others to meet each patient's needs. Check-in and co-pay administration includes checking in patients in an accurate and professional manner, identifying and accurately collecting co-pays or appropriate fees, using a computer-based system to verify patient information, and communicating wait times in a diplomatic manner. Computerized appointment scheduling includes scheduling appointments in an accurate and timely manner according to Advanced Access principles, maintaining knowledge of appointment scheduling practices, and maintaining knowledge of appointment scheduling policies and procedures. Registration and verification includes completing the registration process, verifying insurance eligibility, registering patients in an accurate, efficient, and timely manner, identifying appropriate account type, and maintaining open communication with the Appointment Center to ensure patient and provider needs are met. Specialty appointment coordination includes providing patient with information required to schedule specialty appointments, facilitating timely and accurate flow of communication within the clinic, answering telephone and responding appropriately to the caller, taking and relaying messages requiring follow-up to appropriate individuals, preparing records and materials for new patient appointments, assisting with the clerical duties of the clinic, maintaining open communication with Appointment Center to ensure patient and provider needs are met, and coordinating schedule templates, emergency schedule changes, and schedule holds consistent with Advanced Access principles. General accountabilities include performing other duties as assigned.
