Location : Remote (Latin America)
Working Hours : Full-Time, Monday to Friday 7.30 am to 4.30 pm EST
Compensation : $1,800 - $2,300 USD per month (based on experience)

The Opportunity
We are seeking a proactive, highly organized, and strong communicator to serve as the In-House Project Coordinator for our commercial construction (flooring) projects. This is a critical support role, acting as an assistant to our field-based Project Managers. Your primary focus will be on administrative support, internal and external communication, material ordering, and project documentation, ensuring smooth, daily operations and keeping clients and internal teams up to date.
Key Responsibilities
The Project Coordinator will be responsible for a wide range of administrative and logistical tasks, including :
Project Communication & Updates :
Serve as the main point of contact for clients, providing regular project progress updates, pictures, and responding to inquiries about material status, delivery, and scheduling.
Create and send initial customer emails upon project assignment, using provided templates.
Distribute crucial project documents, such as shop drawings / floor plans (created by another department) to the client for approval.
Request and track the project schedule from the client.
Ensure constant, strong communication with the two field Project Managers (PMs) and the in-house Procurement Manager.
Administrative & Data Management :
Update and maintain project databases and tracking logs, primarily within Microsoft Teams.
Track and document the daily progress of field PMs.
Handle general documentation, creating necessary forms, invoices, or proposals as requested.
Material and Logistical Coordination :
Process material orders based on lists provided by PMs.
Communicate delivery schedules and material status / location updates back to the PMs.
Schedule deliveries of materials and coordination with installers.
Required Qualifications & Skills
Must have :
Proven background in construction project coordination, or a related administrative field. Minimum 3 years of experience in a similar role.
Mandatory experience in the construction industry.
Fluent and accent-neutral English is a non-negotiable requirement. Must be able to have clear, effective conversations with US-based clients, partners, and team members.
Ability to read and understand floor plans / blueprints.
Strong organizational and time management skills with the ability to manage multiple projects and meet tight deadlines.
Ability to work independently and as part of a team.
Proactive : Must be a self-starter who initiates communication and action.
High level of accuracy and attention to detail.
Competency with Microsoft Office Suite (Outlook, Teams) and general project management software / apps.
Nice to have :
Experience with WhatsApp for business communication is a plus.
