Job Summary
This Administrative Manager (AM) must work very closely with the executive under general to minimal supervision providing advanced, essential, diversified, and highly confidential administrative support and performing project and function-based duties in support of the Chief Legal Office and the Board of Directors. This work requires broad and comprehensive experience, skills, and a thorough knowledge of organization policies and practices to manage work, scheduled, and tasks as assigned and proactively to enhance the productivity, efficiency and effectiveness of the Chief Legal Officer. Tasks may include (but are not limited to) : Calendar management to maximize preparation and productivity; serve as a liaison and proxy for executive in communications; meeting coordination and organization, including preparing agendas, materials and packets, and minutes; document review and preparation for communications, presentations and other key documents; supporting organization and execution (i.e., follow-through); administrative support including assisting with budgeting, expense and financial management, track and reports, maintaining office supplies, and maintaining records of attorney licenses, memberships, renewals, and CLE credits.
The AM also serves as the board liaison and support for multiple boards and board committees for Denver Health and its subsidiaries.
The AM role involves handling complex tasks that require evaluating multiple factors to determine the best course of action and the ability to effectively prioritize. This work is multifaceted and complex, and most decisions will be informed by established procedures and guidelines, but successful performance of this role requires exceptional organizational and multi-tasking skills, resourcefulness, grit, critical thinking, and good judgement.
Essential Functions :
Administrative Support / Office Management (45%)
Provide day-to-day administrative support (such as managing schedules, correspondence, and event calendars, travel, etc.) to one or more Executives and members of the staff. Coordinate and direct office services, such as records, departmental finances, budget preparation, personnel issues, and housekeeping, to aid executives. May act as a proxy in the Executive's absence as directed.
Provide comprehensive support and assistance to executive including anticipating matters to help avoid and manage issues.
Board Management (30%)
Perform functions to support activities of entity Boards and Committees, including preparing and distributing meeting materials, compiling information as requested for reports, maintaining records and other documentation, preparing and maintaining meeting minutes, scheduling board meetings, managing membership lists, tracking board member terms, managing calendars and deadlines, revision of bylaws and other materials, recording and distributing Board. Requires considerable organization and attention to detail.
Project Management (25%)
Lead the execution of special projects by helping to define the project scope, goals, and deliverables. Define tasks, required resources, manage budget, timelines, and deliverables. Present updates and reports on progress to stakeholders to include any problems and solutions.
Education :
Bachelor's degree in Business Administration, Health Administration, Public Health or other related field or High School Diploma and additional 4 years of experience supporting senior leadership or other C level executives (Required)
Work Experience :
3-5 years experience managing senior leadership or other C-level management executives (Required)
4-6 years Leading and effectively executing projects (Required)
Licenses :
Notary Public (Preferred)
Knowledge, Skills and Abilities :
Social and Emotional Intelligence and skills- An adaptable and flexible team player.
Technical Prowess-Internet navigation and research skills. Demonstrated proficiency with MS Office Suite with a specific focus on advanced Outlook, Word, Excel, PowerPoint and the ability to learn and adapt to new software. Ability to problem-solve and work with IT / HelpDesk on issues.
Organizing, Planning, and Prioritizing Work - Ability to effectively manage day to day assignments through planning, prioritization and organization that highly detail-oriented
Communications - Ability to communicate effectively orally and in writing as appropriate for the needs of the audience.
Judgment and Decision Making - Ability to consider the relative costs and benefits of potential actions to choose the most appropriate one.
People Skills - Proficient in dealing with strong personalities and balancing the interests of many for mutually beneficial outcomes
