Departmental Overview

The Interdisciplinary Social Science Programs (ISSP) are a cluster of degree programs that provide an interdisciplinary approach to the study of social science issues. Comprised of three undergraduate majors (Cognitive Science, Global Studies, and Political Economy), several undergraduate minor programs (Global Studies, Political Economy, Human Rights, and Global Poverty and Practice), a master's degree program in Global Studies, two graduate designated emphases (graduate minor programs) in Political Economy and Cognitive Science, and a new Self-Supporting Graduate Professional Degree Program in Computational Social Sciences, ISSP serves approximately 975 undergraduate major, 170 minor, and 150 graduate students. ISSP is led by an Associate Dean, 3 faculty directors (one for each major) and advisory boards representing each of the major programs. There are approximately 8 ladder and adjunct faculty, 25 lecturers, and 50 GSIs and readers.

Position Summary

Performs and / or supervises one or more general and specialized clerical and administrative services essential to the operation of all University departments; and perform other related duties as required.

Responsibilities

Front Desk, Office Coordination & Core Administrative Support - 25%

  • Manage front-desk coverage and serving as the primary point of contact for students, campus community members, and visitors.
  • Respond to in-person, phone, and email inquiries and guide individuals to the appropriate offices, resources, or contacts.
  • Manage office logistics including mail processing, call management, and general administrative support functions.
  • Maintain electronic and paper filing systems to ensure accuracy, organization, and timely access to departmental records.
  • Make travel arrangements as needed for department personnel.
  • Manage office supply inventory, determine supply needs, and coordinate ordering.

Academic Support : ASE Hiring, Course Evaluations & Merit Inputs - 25%

  • In conjunction with the ASE Lead, manage academic year and summer ASE hiring processes, including :
  • Advertising ASE positions.
  • Collecting and organizing applicant information.
  • Preparing ASE offer letters.
  • Generating position numbers and adding funding in UCPath.
  • Entering and maintaining ASE hiring data in regional Smartsheets.
  • In coordination with the Department Scheduler and Academic Personnel Analyst, support course evaluation organization and tracking.
  • Assist with input and data preparation related to faculty merit cases, ensuring accurate and timely information sharing.
  • Maintain and update student, instructional, and academic support data as required for departmental operations.
  • Financial Transactions, Purchasing & Data Support - 20%

  • Process One-Time Payments (OTPs) under the supervision of the Director.
  • Process travel, entertainment, and supply reimbursements.
  • Serve as a Preparer in Berkeley Financial Services (BRS) and BearBuy, identifying and initiating adjustments as required.
  • Manage purchasing for office supplies and equipment, including determining needs and placing orders.
  • Process departmental gifts and grants for submission to University Relations or Sponsored Projects.
  • May participate in contract negotiations and the preparation of Requests for Proposals (RFPs) requiring subject-matter knowledge.
  • Apply moderately complex spreadsheet functions, including formulas and pivot tables.
  • Compile and maintain spreadsheets using subject-matter knowledge to ensure consistency and accuracy of data; may analyze trends.
  • Events, Meetings & Program Logistics - 20%

  • Coordinate large, complex conferences, meetings, and programs, including commencement, faculty meetings, guest lectures, student meetings, academic planning sessions, and related departmental events.
  • Manage room reservations and department calendars in coordination with the department scheduler.
  • Organize meeting documentation, including agendas, briefing notes, handouts, and attendee information.
  • Manage budgets related to events and meetings; holder of BluCard and responsible for reconciliation of card expenses.
  • Coordinate catering, space reservations, and audiovisual services for events and meetings.
  • Facilities, Space & Project Coordination - 10%

  • Provide project coordination support to the Director of Administration.
  • Organize and schedule office moves and departmental renovations.
  • Submit and track office space renovation and facilities service requests.
  • Serve as liaison with Facilities Services and Moving Services for departmental space and facilities needs.
  • Required Qualifications

  • Thorough knowledge in administrative procedures and processes including word processing, spreadsheet and database applications.
  • Requires good verbal and written communication skills, active listening, critical thinking, multi-task and time management skills.
  • Requires interpersonal and work leadership skills to provide guidance to other nonexempt personnel.
  • Demonstrated ability to work effectively and collaborate with individuals and groups from a wide range of backgrounds, experiences, and perspectives.
  • Intermediate level of understanding of and / or can quickly learn university and campus policies and procedures regarding student affairs, financial, and purchasing transactions.
  • High school diploma and / or equivalent experience / training.

    Under California law, the University of California, Berkeley is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.

    The budgeted hourly range that the University reasonably expects to pay for this position is $30.58 (Step 1) - $35.05 (Step 7).

  • This is a full-time (40 hours / week), career position that is eligible for UC Benefits.
  • This is a non-exempt, biweekly-paid position.
