As an integral part of our operations, you will handle administrative tasks, provide customer service, and assist with various office functions. This is a long-term contract role with a focus on delivering exceptional support to both internal teams and the public.
Responsibilities:
• Greet and assist visitors, ensuring they feel welcomed and directing them to the appropriate destinations.
• Address complex or sensitive inquiries by referring them to the appropriate staff or department.
• Process utility bill payments received via drop box or walk-in, ensuring accurate handling and documentation.
• Manage conference room bookings and public appointment scheduling, while maintaining updated lobby screen information.
• Perform mailroom tasks, such as operating mailroom equipment and handling incoming and outgoing correspondence.
• Answer and manage multi-line phone systems, ensuring calls are routed appropriately and messages are relayed efficiently.
• Deliver concierge-style services to enhance the visitor experience and maintain smooth front desk operations.
• Strong customer service skills with the ability to handle inquiries and complaints professionally.
• Proficiency in managing multi-line phone systems and switchboards.
• Familiarity with administrative tasks, such as scheduling, payment processing, and mailroom operations.
• Excellent verbal and written communication skills to interact effectively with visitors and staff.
• Ability to prioritize and manage multiple tasks in a fast-paced environment.
