Office Assistant

We are looking for a motivated and detail-oriented Office Assistant to support the daily operations of our office in Hoboken, New Jersey. This role combines administrative, facilities, and executive support tasks, offering a dynamic work environment across two locations within the same building. As this is a long-term contract position, it is ideal for someone who thrives in a hands-on role and enjoys engaging in a variety of responsibilities.

Responsibilities :

  • Coordinate and manage office schedules, meetings, and appointments to ensure smooth daily operations.
  • Provide administrative support by handling correspondence, documentation, and data entry tasks.
  • Assist with facility management tasks, including maintaining office supplies and ensuring a well-organized workspace.
  • Support executives by preparing reports, presentations, and handling other ad hoc tasks as required.
  • Act as a point of contact for internal and external stakeholders, addressing inquiries and resolving issues promptly.
  • Monitor and manage calendars, ensuring timely scheduling and efficient prioritization.
  • Organize and oversee logistics for meetings and events held within the office.
  • Maintain confidentiality and professionalism while handling sensitive information.
  • Collaborate with team members to streamline processes and improve overall office efficiency.
  • Conduct regular checks to ensure the office environment remains functional and well-maintained.

Requirements :

  • Proven experience in an administrative or office assistant role is preferred.
  • Strong organizational skills and attention to detail to manage multiple tasks effectively.
  • Proficiency in calendar management and appointment scheduling.
  • Excellent communication skills, both verbal and written, to interact with diverse stakeholders.
  • Ability to work independently and take initiative in a fast-paced environment.
  • Familiarity with office software, including Microsoft Office Suite.
  • Problem-solving skills to address challenges and provide effective solutions.
  • Detail-oriented approach with a commitment to maintaining confidentiality.
