Office Assistant
We are looking for a motivated and detail-oriented Office Assistant to support the daily operations of our office in Hoboken, New Jersey. This role combines administrative, facilities, and executive support tasks, offering a dynamic work environment across two locations within the same building. As this is a long-term contract position, it is ideal for someone who thrives in a hands-on role and enjoys engaging in a variety of responsibilities.
Responsibilities :
- Coordinate and manage office schedules, meetings, and appointments to ensure smooth daily operations.
- Provide administrative support by handling correspondence, documentation, and data entry tasks.
- Assist with facility management tasks, including maintaining office supplies and ensuring a well-organized workspace.
- Support executives by preparing reports, presentations, and handling other ad hoc tasks as required.
- Act as a point of contact for internal and external stakeholders, addressing inquiries and resolving issues promptly.
- Monitor and manage calendars, ensuring timely scheduling and efficient prioritization.
- Organize and oversee logistics for meetings and events held within the office.
- Maintain confidentiality and professionalism while handling sensitive information.
- Collaborate with team members to streamline processes and improve overall office efficiency.
- Conduct regular checks to ensure the office environment remains functional and well-maintained.
Requirements :
Proven experience in an administrative or office assistant role is preferred.Strong organizational skills and attention to detail to manage multiple tasks effectively.Proficiency in calendar management and appointment scheduling.Excellent communication skills, both verbal and written, to interact with diverse stakeholders.Ability to work independently and take initiative in a fast-paced environment.Familiarity with office software, including Microsoft Office Suite.Problem-solving skills to address challenges and provide effective solutions.Detail-oriented approach with a commitment to maintaining confidentiality.
