About the Position
The Lease Administration Manager is responsible for managing and maintaining lease data, ensuring accuracy of financial obligations, critical dates, and lease terms across a real estate portfolio. This role serves as the primary point of contact for lease-related documentation, audits, and reporting to support real estate operations, legal, accounting, and compliance.
Functions
- Abstract lease documents and input accurate data into lease management systems (, critical dates, rent schedules, options).
- Track and manage key dates such as lease expirations, renewals, rent escalations, and termination options.
- Review and reconcile rent payments, CAM charges, property taxes, and other landlord billings.
- Ensure compliance with lease terms and conduct internal reconciliation audits.
- Manage, track and report vacant space across the portfolio
- Collaborate with real estate, legal, finance, and operations teams on lease negotiations, amendments, vacancy reporting and landlord communications.
- Generate lease reports and dashboards for internal stakeholders.
- Maintain digital and physical lease files in accordance with company records management policies.
- Manage onboarding / offboarding of locations and lease transitions
- Responsible for real estate market intelligence, surveys, site selection and pricing during the RFP process
- Assists in special real estate projects as requested by leadership
Qualifications
Bachelor’s degree in Business, Real Estate or another related discipline preferred.5-7 years of experience in lease administration, property management or corporate real estate required; distribution warehousing experience preferred.Excellent working knowledge of Microsoft Office products ( Word, PowerPoint, Excel, and Outlook).Strong attention to detail and ability to interpret complex lease language.Excellent communication and organizational skills.Self-directed with demonstrated ability to effectively organize and manage timeExperience in producing results in a dynamic and fast-paced environmentAbility to work with a diverse workforce and cross functionally to build strong internal partnershipsAbility to adapt quickly to changing projects / prioritiesCompetencies
