Position Description : Purpose The Systems PTO Associate is responsible for managing and maintaining accurate Paid Time Off (PTO) and leave balances for client employees within the PrismHR platform. This role supports a Professional Employer Organization (PEO) by ensuring that PTO policies, accruals, and usage are administered correctly and in compliance with client-specific rules, company policies, and applicable labor laws. The Systems PTO Associate serves as the subject matter expert on PTO configuration and troubleshooting within PrismHR and provides exceptional support to internal teams and client contacts. General Technical Support Support the Systems Team ticketing queue by handling the PTO support cases. Configure and maintain PTO plans, accrual schedules, and eligibility rules in PrismHR based on client contracts and policies. Audit PTO balances and accruals to ensure accuracy and consistency across employee records. Process PTO adjustments, carryovers, and resets as required by client policy or state law. Ensure all PTO and leave plans comply with federal, state, and local leave requirements (e.g., sick leave, paid family leave, vacation policies). Generate and analyze PTO reports to identify trends, discrepancies, or potential compliance risks. Maintain documentation of PTO plan configurations, client requests, and audits. Attend internal project meetings and provide updates on progress and deliverables. Time and Labor Management Ensure proper communication with Systems Team to ensure PTO setups and balances pushed over to the Time and Labor system for utilization. Payroll Support Troubleshoot issues and errors encountered during payroll processing. Serve as the primary point of contact for PTO-related inquiries from internal Teams. Troubleshoot PTO calculation discrepancies in PrismHR and coordinate resolution with client or PrismHR as needed. Other Duties Foster strong relationships across all departments. Continuously enhance knowledge and skills in PrismHR software applications and PEO industry practices. Maintain and update internal system checklists and documentation. Contribute to the development of client guides and training content. Ensure all PTO and leave plans comply with federal, state, and local leave requirements (e.g., sick leave, paid family leave, vacation policies). Generate and analyze PTO reports to identify trends, discrepancies, or potential compliance risks. Maintain documentation of PTO plan configurations, client requests, and audits. Required Knowledge, Skills, and Experience 2 years of PrismHR experience required. 2 year of Prior PEO experience required. Multi-state payroll experience required. Strong understanding of PTO accrual methods, carryover rules, and state-specific leave laws. Proficiency in Microsoft Excel and reporting tools. Excellent customer service skills with a proactive approach. Exceptional attention to detail. Strong problem-solving skills. Excellent verbal, written, and interpersonal communication skills. Ability to multitask, work under pressure and meet deadlines. Capability to translate complex technical information into meaningful insights for clients and internal teams. Strong time management, delegation and task organization skills.
