Position Overview

Reporting to the Director, Human Resources Service Delivery, the HR Offboarding Collector is responsible for recovering outstanding debts by employees leaving the company and former employees who left the company and owe money back due to not fulfilling an agreed upon commitment. As a member of the HR team, this position engages in communication with current employees who have given their resignation notice and have a standing debt with PHI. This role focuses on friendly engagement of current and former employees to ensure timely collection of owed obligations, by securing commitments to repayment plans. Key to success is transaction management of accounts, thorough reporting of payments, records and collection status. This position also prepares packets to initiate legal action as needed. This position will assist with offer letters, conducts audit of employee data and other pre-payroll data validations. This position also assists with special projects as determined by business needs.

Essential Duties

• Reviews termination transactions and employee clearances, to engage with employees prior to last day to notify them of PHI owed obligations. Explains payment options, achieves repayment commitment.
• Completes the clearance form to ensure all commitments by the employee are accounted for, sign-on bonus, retention bonus, training repayment, resignation notice, relocation assistance, and all other applicable bonus or programs that required a commitment that was not fulfilled.
• Works with payroll to finalize the total repayment amount, based on the final paycheck collection.
• Follow ups timely to collect on payment plan commitments.
• Manages accounts, tracks payments and ensures all is tracked accordingly.
• Maintains detailed records of all communications and actions taken regarding the debt recovery efforts.
• Prepares packets to initiate legal action.
• Handle disputes and resolves issues that may arise during the collection process. Collaborates with HR Team for guidance on how to handle difficult situations.
• Completes weekly reporting of recoupments and terminations.
• Assists employees and managers with questions.
• Prepares offer letters as assigned and / or acts as back up for HR Specialist as needed.
• Conducts employee data audits and other pre-payroll data validations.
• Other duties and responsibilities as assigned.
