Volt is immediately hiring for an Administrative Assistant in Lake Buena Vista, FL.
As an Administrative Assistant you will :
Act as the primary contact for all incoming communication and ensuring interactions are handled in a professional manner.
- Proactively managing team members (if needed) calendar, coordinating meetings, planning and executing travel arrangements
- Ensuring daily prioritization of communication, meetings, and action items
- Providing overall office administration and organizational task support, including maintaining filing system, preparing expense reports and processing workflow requirements through SAP
- Managing all work with the highest degree of confidentiality - exercising discretion, judgment and diplomacy
- Displaying initiative, ingenuity and constant communication as a consistent means of accomplishing the work
- Monitoring the custodial services and alert management of any issues or concerns for resolution
- Maintaining an inventory of office / trailer supplies on an on-going basis and order (according to company process) depleted stock to ensure adequate supplies are on hand
- Being proactive in assisting with visitors
- Assisting in coordination of lead executive walks
- Setting up conference rooms as well as tear / down before and after meetings
This is a full-time on-site 12-month contract opportunity.
Schedule : Monday- Friday fully on-site in Lake Buena Vista, FL. Hours : 8 : 00am-5 : 00pm ET.
The ideal candidate must have :
Minimum of 2-3 years proven administrative experience in a corporate environment or project teamSpanish language skills preferredDemonstrated computer proficiency within a Windows environment, including Word, Excel, PowerPoint, Outlook, as well as the ability to learn new technologies and applications for MAC, iPhone & iPadPositive team player with an enthusiastic attitude and a strong service orientationAbility to communicate efficiently and effectively through demonstrated strong verbal, written and interpersonal skillsDemonstrated strong ability to be proactive and self-motivated and anticipate the team's administrative needsDemonstrated exemplary planning and organization skills - able to set priorities, manage details and accurately follow through to meet all deadlinesAbility to make independent decisions and demonstrate good judgment in the handling of issues including those that involve sensitive and confidential informationDemonstrated ability to prioritize multiple tasks, meet deadlines, manage competing demands and change course of action quickly in a fast-paced environmentDemonstrated exemplary organization and time management skillsAbility to be flexible with work schedule as needed (come in early or stay late)Strong interpersonal skills to effectively work with different levels of management and their assistants in coordinating meetings, schedule, tours, and presentationsAbility to anticipate executive and non-executive level meeting needs such as appropriate meeting room, chair / table set up, and cateringStrong sense of accountability for assigned tasks / projects and pride in work producedPay Rate : $21.11-$22.95 per hour DOE
