Job Title : Crozier Program Administrator
Program : Crozier House
Location : Worcester, MA
Reports To : Director of Residential Treatment Services
Primary Responsibility : The Program Administrator provides administrative and operational support to program leadership to ensure the smooth, compliant day‑to‑day operation of the Crozier House Men’s Recovery Program. Responsibilities include coordination, documentation, monitoring, and communication in alignment with BSAS regulations, Catholic Charities policies, and program standards. The role does not involve independent decision‑making related to policy, clinical care, discipline, admissions, discharges, or finances, as final authority rests with the Director of Residential Treatment Services and program leadership
Essential duties :
- Oversee the operation and management of Crozier House as dictated by state control and guidelines off DPH and within agency policies of Catholic Charites Worcester County.
- Support daily residential operations, routines, and schedules
- Provides oversight and supervision of the Recovery Specialist Supervisor and Lead Medication Specialist to ensure effective implementation of programmatic responsibilities
- Provide administrative coordination to support program consistency and structure
- Work closely with the Recovery Specialist Supervisor to support consistent expectations and house routines
- Will assist the recovery specialist supervisor in direct supervision of recovery specialists.
- Assist with staff scheduling, coverage coordination, and operational communication
- Serve as a liaison for routine administrative matters.
- Ensure completion and organization of medication‑related records in accordance with policy and report any medication errors to BSAS.
- Communicate operational issues related to medication processes to Director of Residential treatment.
- Maintain required BSAS and Catholic Charities documentation and program records
- Track schedules, attendance, logs, and required reports, reporting information to required entities.
- Assist with preparation for audits, site visits, and licensing reviews
- Observe program operations to support safety, structure, and policy adherence
- Identify operational or compliance concerns and report findings to Director of Residential treatment programs.
- Support a structured, respectful, and recovery‑focused environment
- Assist with coordination of resident activities and services
- Model trauma‑informed, recovery‑oriented engagement and professional boundaries
- Evaluate program services and make recommended changes as needed with approval of the Director of Residential treatment services.
- Work in collaboration with Human Resources in the hiring process to ensure orientation and training of new staff, volunteers and interns.
- Interview applicants and follow HR guidelines for applicants and new hires.
- Approve purchase requisitions for program food, materials and supplies.
Job specifications
Education / Experience :
Bachelor’s degree in human services, behavioral health, or a related field preferredExperience in residential recovery, substance use services, or nonprofit human services requiredKnowledge of BSAS‑funded programs and regulatory standards preferredExperience supporting program documentation and compliance processesA minimum of 2 years of supervisory experienceSkills / Abilities
Strong organizational and documentation skillsAbility to monitor operations and identify administrative or compliance concernsEffective written and verbal communication skills.Ability to collaborate across roles while maintaining professional boundariesDemonstrated commitment to trauma‑informed, recovery‑oriented practicesAbility to maintain confidentiality and handle sensitive information appropriatelyMust demonstrate knowledge of recovery principles and the importance of recovery‑supportive language and behavior, including refraining from substance related discussions or behaviors that may be triggering to residents and maintaining a substance‑free presence while on dutyPhysical at mental requirements :
Ability to accommodate the needs of residents within the community at largeWalking and climbing are required for entry and mobility through all office of Catholic Charities of Worcester.Must demonstrate good judgment in decision making and determination of information that should be communicated to staff, other supervisors and program managers.
