About Us :

The Executive Administrative Assistant is responsible for performing a wide variety of administrative tasks in support of a top executive. This role involves directing, monitoring, and contributing to special / strategic projects that are strategic in nature, highly complex, and may involve the creation and oversight of multifaceted teams.

KEY SKILLS / RESPONSIBILITIES

  • Provide executive support to the Chief Global Growth Officer (CGGO) and up to 4 Business Development (BD) SVP Leadership Team members.
  • Manage CGGO's daily business obligations, including calendar management, appointment scheduling, and travel arrangements.
  • Prepare and submit expense reports for the CGGO and BD SVP Leadership team via Concur.
  • Collaborate and support internal meetings, conferences, and communication with the Owner Relations team.
  • Prepare agendas, reports, and presentations as needed.
  • Provide conference logistics and planning support for the team including contract processing and management.
  • May require some travel and availability after hours; must be flexible.
  • Monitor development invoices and subcontractor / vendor documentation.
  • Manage incoming calls, emails, and visitors.
  • Maintain confidentiality of sensitive information.
  • Collaborate with other Administrative Support as required, covering absences.
  • Perform any other duties as assigned.

    • EDUCATION & EXPERIENCE

  • 6+ years of experience required; bachelor's degree preferred.
  • Possess a high degree of business acumen and professional presence.
  • Ability to represent executives in important business functions and communications.
  • Strong verbal and written communication skills.
  • Excellent attention to detail.
  • Self-motivated with the ability to work independently and lead teams.
  • Proficiency in Microsoft Office applications including PowerPoint, Word, Excel, and Outlook. Familiar with business applications. Experience with Salesforce, Concur a plus for efficient data management and organization.
  • Experience in global business travel coordination, including knowledge of visa requirements helpful.
  • Demonstrated ability to balance priorities and meet deadlines.
  • Capable of handling and resolving complex issues under minimal supervision.
