[job_card.job_description]Partner closely with the Event Lead to support all event logistics. Set up and maintain organized file-sharing systems for internal teams and clients. Create and manage receipt-tracking processes for each event. Research and source vendors, venues, and properties; generate and manage RFPs and compare proposals. Build and maintain floor plans for corporate events. Participate in client and internal team calls; capture and distribute meeting notes and action items when needed. Track and follow up on action items to ensure projects remain on schedule and within budget. Schedule meetings and ensure the appropriate team members are included. Manage assigned event projects such as : SAG (Space Allocation Grid) A-Z Guide Event agenda Security planning Shipping grid Temp staff planning Photographer coordination Transportation logistics Vendor housing list Electrical requirements Digital signage grid Support the Event Lead with timelines, budget documentation, and agenda-at-a-glance materials. Coordinate orders for giveaways, swag, uniforms, merchandise, lanyards, and printer rentals. Prepare logistics and documentation for site visits. Provide on-site event support as needed (office management, set-up / breakdown, shipping, general operations). Provide technical and general administrative support across projects. Support other workstreams as needed, including registration, communications, brand project management, and mobile app project management. 2-3+ years of experience in corporate events. Strong administrative and technical capabilities. Highly detail-oriented and exceptionally organized able to manage multiple tasks and deadlines simultaneously. Clear and effective communication skills with clients, internal teams, vendors, and stakeholders. Collaborative, flexible team player who can pitch in across multiple workstreams when needed (registration, communications, brand, mobile app). Proactive and resourceful; takes initiative without being prompted and anticipates team needs. Calm under pressure and effective in fast-paced, dynamic environments. Strong problem-solving skills with a solution-oriented mindset.
