Contract Administrator

Develops, negotiates, and manages contracts to ensure they are accurate, compliant, and aligned with NMRK and client goals. Key responsibilities include drafting and reviewing contracts, analyzing risks, monitoring compliance with terms, and maintaining organized contract records. Possess excellent communication, negotiation, and attention-to-detail skills, along with a solid understanding of business finance and US contract law.

Responsibilities

Stakeholder and Requirements Management

  • Liaise with procurement and Facilities Management (FM) teams for contract-related queries.
  • Provide timely updates and detailed reporting to the parties involved.

Core Responsibilities

  • Draft and administer contracts, amendments, extensions and terminations with vendors, suppliers, and service providers.
  • Negotiate contract terms with both internal and external entities.
  • Review existing contracts and renew / update them.
  • Monitor contractual performance.
  • Monitor contract budgets to ensure cost-effective service delivery.
  • Ensure contract management system is updated with correct information and documentation.
  • Act as point of contact to resolve contractual issues, disputes, and claims; escalate to the procurement team when needed.
  • Track vendor performance to ensure adherence to contractual terms, conditions, KPI's and deadlines.
  • Verity that contractors' Certificates of Insurance (COI's) are current and meet the specific requirements outlined in their contracts.
  • Complete any ad-hoc administrative tasks as required.
  • Manage multiple priorities and deadlines in a remote, cross-border environment.
  • May perform other duties as assigned.
  • Qualifications

    Skills, Education, and Experience :

  • Bachelor's degree in business administration, accounting, law, finance or related field.
  • 3 to 5 years' experience in contract administration or procurement support.
  • Experience with document management systems, DocuSign or similar, MS Office, and Smartsheet.
  • Experience in real estate and facilities management is highly desirable.
  • Targeted Competencies

  • Strong verbal and written communication skills are crucial for explaining complex terms and coordinating with clients, suppliers, legal and internal stakeholders.
  • Ability to negotiate favorable terms and resolve disputes.
  • Meticulous approach to spotting errors and ensuring contract accuracy.
  • Ability to manage multiple contracts simultaneously.
  • Familiarity with relevant laws, industry standards, and regulatory requirements in facilities management.
  • A strong understanding of legal principles related to contracts.
  • Ability to analyze contract terms, identify potential risks, and resolve disputes.
  • Strong organizational and document management skills.
  • Excellent follow-up and communication.
  • Ability to work independently or as part of a team.
  • Fluent in English (written and spoken).
  • Working Conditions : Normal working conditions with the absence of disagreeable elements

    Salary : The actual base salary will be determined on an individualized basis taking into account a wide range of factors including, but not limited to, relevant skills, experience, education, and, where applicable, licenses or certifications held. In addition to base salary and a competitive benefits package, this position may be eligible for additional types of compensation including discretionary bonuses and other short- and long-term incentives (e.g., deferred cash, equity, etc.).
