Executive Administrative Assistant
In this pivotal role, you'll take charge of managing complex calendars, coordinating high-level meetings, and ensuring seamless execution of day-to-day executive operations. You'll handle confidential information with exceptional discretion, communicate confidently with stakeholders at all levels, and act as a central hub for information flow across the organization. Responsibilities :
- Manage executive calendars, schedule appointments, and organize travel arrangements to ensure efficient time management.
- Coordinate and plan leadership meetings, board meetings, and company-wide events, including preparing agendas, taking minutes, and managing logistics.
- Prepare and submit expense reports accurately and in a timely manner.
- Support special projects by conducting research, compiling data, and collaborating with teams to achieve project goals.
- Maintain confidentiality while handling sensitive information with professionalism and discretion.
- Oversee office operations, including inventory management and clerical tasks, to ensure a well-functioning work environment.
- Develop and create presentations and materials for executive and board meetings.
- Act as a point of contact for internal and external stakeholders, fostering positive relationships and clear communication.
- Ensure the accuracy and organization of meeting materials, agendas, and notes.
- Identify opportunities to streamline processes and improve efficiency in administrative operations.
Requirements :
Bachelor's degree or equivalent relevant experience.At least 5 years of experience providing high-level administrative support to executives.Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and expense management software.Strong organizational and multitasking abilities, with an aptitude for managing competing priorities.Excellent written and verbal communication skills.Demonstrated ability to work independently, take initiative, and make sound decisions.Proven track record of handling confidential information with discretion.Experience coordinating meetings, events, and travel arrangements for senior leadership.Compensation & Benefits :
