Departmental Overview

The Library's Resource Sharing Division (RSD) is composed of two departments : Borrowing Services and Lending Services. Borrowing Services supplements the UC Berkeley Library's renowned collections by providing access to materials not held locally, supporting the research, teaching, and learning needs of Berkeley's faculty, staff, and students. Lending Services shares the UC Berkeley Library's collections with libraries and researchers worldwide, supporting the global exchange of scholarly resources. Together, these departments ensure that UC Berkeley's community, as well as the broader academic community, benefit from timely and wide-ranging access to research materials.

Position Summary

This position within the Resource Sharing Division (RSD) provides support to the Lending Services Department and coordinates the Division's shipping operations. Responsibilities include performing library assistant duties to fulfill interlibrary loan requests using UC Berkeley Library materials for external institutions and researchers, such as bibliographic verification of requests, electronic transmission of scanned documents, and preparation of physical items for shipment in accordance with departmental policies and procedures. The role also manages incoming and outgoing shipments of library materials through the UC-wide courier service and FedEx, UPS, and USPS, including monitoring shipping supplies and equipment, reviewing courier invoices, tracking and resolving shipping issues, and applying quality-control practices to safeguard library materials. In addition, the incumbent trains and supports student employees engaged in shipping and other divisional tasks.

Responsibilities

Resource Sharing Request Processing

  • Conduct bibliographic checking of interlibrary loan requests using the Integrated Library System (ILS) and other research tools; resolve vague or incomplete citations (often in non-English languages) through database and online searches.
  • Confer with staff colleagues on problematic requests and citations, escalating complex issues to the Supervisor or Lending Department Head.
  • Route requests to the appropriate library location for retrieval of materials and accurately update requests in interlibrary loan (ILL) management systems.
  • Electronically transmit requested materials from e-resources or physical scans; verify accuracy, completeness, and research-quality standards, returning incomplete scans for correction.
  • Confirm accuracy of supplied materials (both returnables and non-returnables), prioritize rush requests, and ensure compliance with departmental policies and with relevant copyright, licensing, and confidentiality guidelines in the sharing of library materials.
  • Monitor departmental email accounts to respond to inquiries from borrowing institutions, non-affiliated researchers, and UC Berkeley library units, using clear and professional communication to support positive interlibrary relationships.

Departmental & Operational Support; Professional Development

  • Support the Lending Department Head in managing not-received items, overdue items, recalls, invoicing, and related communications with borrowing institutions.
  • Contribute to the review and maintenance of departmental policies, procedures, and documentation by identifying opportunities to improve workflow efficiency, consistency, and clarity for staff.
  • Assist in training new staff and providing support to staff colleagues as needed.
  • Provide basic procedural and policy assistance at the resource sharing public service desk.
  • Assist with other tasks in the division, especially in the absence of usual staffing.
  • Participate in broader library-, campus-, or UC-wide committees and initiatives as appropriate.
  • Engage in ongoing training and development opportunities to maintain and expand knowledge of resource sharing practices, library systems, and emerging technologies.
  • Shipping Duties

  • Oversee daily shipping and receiving operations to ensure timely preparation of materials for shipment; report missed pick-ups or drop-offs promptly and escalate concerns to the Department Head as needed.
  • Monitor shipping supplies and equipment, notifying the Department Head when orders are required.
  • Review courier invoices for accuracy and report discrepancies.
  • Contact courier customer service to resolve delivery issues and submit claims for lost packages.
  • Train student employees and staff in shipping and receiving procedures.
  • Perform shipping tasks in the absence of student employee coverage.
  • Safely lift up to 50 pounds, push and pull loaded book trucks weighing up to 300 pounds, and handle shipping supplies and equipment as part of regular duties.
  • Support for Student Library Employees (SLEs)

    Train and support SLEs in departmental tasks, serving as a resource for questions and providing guidance to ensure accuracy and consistency of work while fostering an understanding of professional ethics, confidentiality, and service standards in resource sharing. Responsibilities include :

  • Overseeing shipping activities (packaging and labeling outgoing shipments, and opening and sorting incoming shipments), monitoring for accuracy, resolving questions about confusing shipping addresses, and ensuring standards are met.
  • Supporting digitization activities, including use of flatbed, overhead, map, and microform scanners.
  • Supporting retrieval and return workflows, including locating materials in Main Stacks and Subject Specialty Libraries using Library of Congress call numbers, and processing checkouts and returns in the circulation system.
  • Provide guidance and take non-disciplinary corrective action as needed; refer significant performance issues to the student employee's supervisor.
  • Ensure departmental work is prioritized in the absence of the Supervisor or Department Head and provide ongoing support to SLEs in carrying out their responsibilities.
  • Required Qualifications

  • Ability to work effectively as part of a team, contributing to group goals and supporting colleagues in a collaborative environment.
  • Ability to communicate effectively, both orally and in writing, with library staff, patrons, and external institutions by email, phone, and in-person
  • Proficiency in standard professional productivity and collaboration software, with the capacity to learn and adapt to new technologies and systems as needed.
  • Skill in managing multiple tasks in a high-volume, fast-paced environment with accuracy and attention to detail.
  • Experience assisting with training and offering guidance to others

  • Preferred Qualifications

  • Experience working in an academic or research library, preferably in resource sharing or interlibrary loan utilizing interlibrary loan management systems and / or Integrated Library Systems to performing bibliographic searching.
  • Experience using parcel shipping platforms or transferable experience with shipping / tracking software.
  • Bachelor's degree in related area and / or equivalent experience / training.

    Under California law, the University of California, Berkeley is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.

    The budgeted hourly range that the University reasonably expects to pay for this position is $27.69 (Step 1) - $30.06 (Step 5).

  • This is a full-time (40 hours / week), career position that is eligible for UC Benefits.
  • This is a non-exempt, biweekly-paid position.
