Position Summary
Telespeech Therapy, Inc. is seeking a dependable, detail-oriented Administrative Assistant (Flex) to support daily operations of our speech therapy practice across both clinic and school-based services. This cross-functional role is essential to ensuring smooth front office function, accurate billing and scheduling support, timely documentation preparation, and excellent service for clients, clinicians, and school partners. Billing & Insurance Support
Assist with billing processes as needed, including verifying authorizations, entering charges, tracking claims status, and following up on unpaid balances.Maintain up-to-date records of patient insurance information and documentation needed for billing.Support collection of copays and payments in accordance with office policy.Communicate with families regarding billing questions in a professional and helpful manner.Provide flexible, rotational support to billing workflows rather than serving as the dedicated biller; training is available for strong candidates.Documentation Preparation & Administrative Support
Assist with assessment scoring and report generation.Assist in drafting documents related to evaluations and / or care plans with the assistance of AI directives.Track deadlines for authorizations, evaluations, progress reports, and other required paperwork.Scan, upload, organize, and maintain clinical and administrative documents in secure systems.Support audits and compliance processes as needed.Shift administrative support across departments based on workflow priorities and business needs.Front Desk & Patient Support
Provide friendly front desk coverage as needed (rotational), including greeting families, answering phones, and responding to emails / messages.Schedule evaluations and therapy appointments, confirm upcoming sessions, and manage cancellations / reschedules.Communicate scheduling updates clearly to families and clinical staff.Ensure lobby / front desk area is clean, welcoming, and organized when covering.This is not an exclusively front desk role; responsibilities flex based on daily operational needs.General Office & Business Support
Support daily administrative tasks such as data entry, ordering supplies, and maintaining office systems.Assist with special projects and operational tasks as assigned.Coordinate with leadership and clinical teams to support business needs and improve workflows.Provide flexible administrative coverage during high-volume periods, staff absences, and shifting priorities.Requirements / Qualifications :
High school diploma or equivalent required.Associate degree or relevant certification (e.g., medical billing, health information technology, or accounting) preferred.Minimum of 2 years of administrative experience in a healthcare, education, or therapy-based setting preferred; experience supporting insurance authorizations, billing, scheduling, or EMR systems is a strong plus.Demonstrated ability to learn quickly, follow detailed workflows, and transition smoothly between tasks while maintaining professionalism and accuracy.Required Knowledge / Skills / Abilities / Talents
High level of accuracy, analytical thinking, and attention to detail.Strong organizational and time management skills; ability to prioritize tasks in a dynamic, fast-paced environment.Familiarity with insurance authorizations, claims processes, and general payer protocols is a plus but not required.Proficient in Google Workspace and Microsoft Office Suite, especially Excel and Outlook; comfortable learning billing software or EMR systems.Effective, tactful communication skills, especially when supporting families and coordinating with clinical staff.Must maintain confidentiality and handle sensitive information with discretion (HIPAA compliance).Ability to manage multiple tasks while maintaining accuracy and professionalism.Reliable attendance for a weekday schedule, with flexibility to float between administrative functions as needed.Ability to work both independently and as part of a collaborative administrative team.Proactive, solutions-focused mindset and ability to stay calm under pressure.Physical Demands
